Sickle cell disease is an inherited disease that affects the hemoglobin in red blood cells that carries oxygen and results in severe anemia, frequent severe pain, end organ damage, and early mortality. Utilize your experience in administrative management to help us discover cures for this devastating disease that affects 100,000 Americans, and millions worldwide, by joining the Cellular and Molecular Therapeutics Branch (CMTB) of the Division of Intramural Research (DIR) within the National Heart, Lung, and Blood Institute (NHLBI) at the National Institutes of Health (NIH)!

About the Position


We conduct premier scientific research and clinical studies, and we're looking for a dynamic staff member with a collaborative approach to support the day-to-day operations of our research branch.


We're seeking you to supervise and develop a program specialist and together support all of the administrative needs of the CMTB, which is a collection of labs, lead investigators, and researchers. As such, we want you to lead, direct, and be responsible for exceptional support and customer service to scientific leaders in the field of biomedical research. We also expect you to provide backup services as an active member of your larger team, in addition to tailored leadership, in the case of vacancies or critical transitions. To do so, you'll:


  • Lead the overall administrative support services for your designated branch: manage, direct, and assign the workload, and provide mentorship to your program specialist.
  • Schedule, organize, and craft agendas/presentations/handouts for collaborative meetings; run the Outlook calendar of the scientific branch chief
  • Build travel itineraries for the branch chief and visiting guests as needed; prepare all documents related to local, domestic, and outside activity travel.
  • Prepare personnel packages and develop checklists for appointments and renewals of personnel in the lab and obtain required documentation (i.e. immigration paperwork, degree, reference letters, etc.).
  • Provide office management through processing equipment and supply order requests; serve as the point of contact in the administration of all maintenance contracts for office equipment.
  • Organize, maintain, and update physical and electronic files; ensure that all files are easily accessible and understandable to others.
  • Serve as a liaison within the larger division; design and coordinate systems for communications among staff to facilitate the efficient flow of information related to projects and program activities.
  • Assist in coordinating special projects and meetings on behalf of senior leaders within the NHLBI.
  • Keep current on federal operational policies and procedures; build new and update current Standard Operating Procedures (SOPs) to reflect process changes.
  • Serve as the central timekeeper for branch staff.


Necessary Background


  • No less than 3 years of experience directly supporting a senior-level executive;
  • Preferred BS or BA degree in any field, or additional 2 years of experience necessary;
  • Must have at least 2 years of experience managing, directing, and overseeing staff;
  • Strong critical thinking and creative problem-solving skills;
  • Assertive and respectful personality with a high level of social skills in order to deal effectively and persuasively with all levels of an organization;
  • Ability to multitask in a dynamic work environment and prioritize competing deadlines.
