Led by the state’s Chief Service Officer, Josh Fryday, California Volunteers is supported by a bipartisan 25-member Commission and a team of experts driven by a mission to empower and mobilize all Californians to volunteer and serve in their communities.

Position Description:

The Special Assistant to Chief Service Officer works under the supervision of the Chief Service Officer and the Chief Deputy Director of California Volunteers. The Special Assistant is responsible for providing the Chief Service Officer with executive support and is also the lead for general scheduling, calendaring, and communications tasks.

The Special Assistant will regularly carry out responsibilities utilizing independent decision-making and judgment; and develop and maintain effective working relationships with numerous private and government agencies, authorities, boards, and commissions, as well as the public. The Special Assistant must maintain regular attendance. 

Duties:

·        Coordinate the Chief Service Officer’s (CSO) daily schedule

o  Screen incoming correspondence and meeting requests for the Chief Service Officer

o  Take detailed messages and relay information as requested

o  Coordinate and maintain CSO’s appointment calendar, arranging meetings in office and offsite; handle details of meetings and answer all inquiries pertaining to such meetings

o  Navigate multiple staff calendars that interact with CSO

o  Make decisions on meeting priorities and on additional staff to attend key meetings

o  Maintain and regularly update the CSO’s contacts and mailing lists

o  Make necessary travel, hotel and meeting arrangements; prepare out of state travel requests; prepare travel expense claims and create and maintain travel files

·        Assist the CSO with writing executive level briefings, collateral, and presentations

·        Provide support to the CSO with a variety of tasks including but not limited to: research, correspondence, special projects, etc.

·        Provide staff support to the Chief Service Officer at legislative meetings and hearings and all external events, including providing briefing materials.

·        Assist with the execution of special events that promote the impact of service and volunteering in local communities, including the annual Governor’s Volunteering and Service Awards (GVSA)

·        Assist the Office Manager with general administrative tasks, including scheduling for other members of senior staff as well as monitoring phone coverage.

·        Maintain and update office phone list and mailing list.

·        Other duties as assigned

Desired Qualifications:

·        Scheduling experience

·        Microsoft Suite experience

·        Strong written and oral communications skills

·        Ability work an irregular and often demanding schedule

·        Ability to manage multiple projects at one time, particularly those that are high-profile and time-sensitive

·        Exceptional teamwork skills

·        Exceptional organizational skills

·        Knowledge of state agency & Legislative leadership

·        Bachelor’s degree preferred
