The Chief of Staff (COS) is responsible for providing a high-level of support to the Mayor. The ideal candidate is people-oriented, forward-thinking, embraces detail, and is able to work with a diverse population. The Mayor will rely on the COS for smooth operation of the office, as well as sound judgement and objectivity in a wide variety of situations. Under the direction of the Mayor, the COS will work to establish and maintain the communication framework for the office of the Mayor, both internally and to the external constituencies the office serves. The COS will assist in the management of the Office and is responsible for overseeing staff and personnel matters, the Office budget, and coordinating a variety of office and staff functions. 

The COS is also responsible for initiating and managing projects to developing effective constituent service processes, attending meetings and calls on the behalf of the Mayor, helping with drafting responses, proposals, emails, letters, etc. The COS will also act as a facilitator with the Mayor’s staff, City departments and external partners throughout the City and beyond. Specific duties include but are not limited to the following:


  • Oversee the day to day administration and supervision of the Mayor’s office staff and services
  • Organize community meetings, vigils, and celebrations on behalf of the Mayor, and support outside organizations in navigating the City’s administration and permitting process to hold partnered events
  • Act as the Mayor’s chief policy and legislative advisor, researching and drafting policy orders, reports, and policy memos to submit to the City Council, prepare detailed talking points to support City Council discussion and debate, and assist in setting successful legislative strategies for mayoral priorities
  • Coordinate weekly agenda matters and related meetings such as Roundtable discussions with the City Manager, City Clerk, and Councilors
  • Write and research speeches, provide high-level editorial review and ensuring public communications reflect internal policies and community values
  • Responsible for a wide variety of projects and initiatives that involve planning, research, management, and writing
  • Work with City staff in preparing the Mayor’s office annual operating budget and oversee the accounting, finance, and payroll functions.
  • Develop and oversee the internal and external communication strategy and media relations campaigns for the Office
  • Coordinate strategic planning and development of the department’s work plan
  • Represent the Office in the absence of the Mayor before community groups, outside organizations, and public officials; negotiating partnerships on behalf of the Mayor
  • Support the Mayor in work practices in order to improve the delivery of services to the public; works collaboratively to develop/implement successful initiatives
  •  Act as liaison between the Mayor’s Office and the City Manager, City departments, outside agencies, working with neighboring municipalities and officials at the local, state, and federal level
  • Coordinate official receptions and itineraries for visiting dignitaries, especially from Cambridge’s Sister Cities
  • Prepare the Mayor’s travel itinerary and schedule when on official travel
  • Provide constituent/community relations support on behalf of Mayor
  • Performs other related duties as assigned

MINIMUM REQUIREMENTS:        

  • Bachelor’s degree in related field or equivalent combination of training and experience.
  • Minimum 3-5 years demonstrated leadership, personnel management and time management experience
  • Demonstrable Project Management experience
  • Ability to work efficiently with minimal direction and in a highly organized fashion and with good humor
  • Able to maintain confidentiality
  • Proactive approach to problem solving with strong, objective decision-making skills
  • Strong organizational skills; able to prioritize competing responsibilities and multitask
  • Excellent oral and written communication skills; strong attention to detail, particularly in preparation of written correspondence
  • Highly adaptable and sensitive to working with diverse (race, ethnicity, age, generation, gender, gender identity, sexual orientation, religious/spiritual beliefs, disability and more) populations
  • Ability to work collaboratively and seamlessly with staff in the role of team leader
  • Familiarity, cultural competency, and demonstrated experience engaging with diverse audiences
  • Cambridge is a diverse City representing a variety of languages and cultures, familiarity and/or fluency in multiple languages is a plus
  • Demonstrated knowledge of and experience working with MS Office Suite (primarily Outlook, Word, and Excel)

PHYSICAL DEMANDS/WORK ENVIRONMENT:

  • Ability to access, input and retrieve information from a computer
  • Ability to answer telephones and multi-task
  • Ability to bend, squat, reach and stretch
  • Work is conducted primarily in an office environment but must have the ability to travel to meetings in other offices or facilities, as well as attend outdoor events in public spaces

RATE: $ 75,000-$82,000 + Excellent benefits
