BROAD SCOPE AND FUNCTION:

The Osher Lifelong Learning Institute (OLLI) at San Francisco State University is a membership organization that offering offers classes and other activities to individuals over age 50. The majority of our members are between 65-85 years of age. The Admin Assistant and Registrar will join a small staff (OLLI director and two part time program assistants).

This position will be the primary contact for members regarding all aspects of the course registration process, provide administrative support for the organization, and support for some classes and interest groups now being held via Zoom. Once we can safely return to in-person classes, sometime in early 2022, OLLI staff and members will return to our physical space.

REPORTING RELATIONSHIP:

This position reports to the OLLI director, under general supervision, and will work closely with the other OLLI Program Assistants.

DUTIES AND RESPONSIBILITES:

-Learn Campus CE registration system and be primary OLLI staffer for provide customer service to members

-In "Campus CE" registration system, process changes to orders, drops, refunds

-Manage Instructor Payments including processing forms

-Process reimbursements, hospitality forms, and check deposits.

-Virtual classroom Zoom support – co-host some Zoom classes each session

-Manage non-member registrant Thank You emails between Campus CE and Mailchimp

-Track/add course proposals and instructor resumes to Curriculum Committee Google Drive

-Managing course evaluations

-Other tasks as needed

TYPICAL PHYSICAL REQUIREMENTS:

Currently, while work is remote, ability to work full shift as a computer. Later, in person, ability to walk quickly from office space to classrooms, occasionally lift up to 25 lbs.

TYPICAL WORKING CONDITIONS:

At present this position requires that the admin assistant/registrar work from home. When we can safely return to campus, the staff member will work at a desk at our downtown campus and help maintain physical classrooms.

MINIMUM REQUIREMENTS:

-Experience and aptitude with administrative tasks

-Organization and detail orientation skills

-Customer-service oriented and personable

-Excellent communication skills

-College degree

-Fluency in English

-Skills in Microsoft Office and Google Suite

PREFERRED QUALIFICATIONS:

Preferred qualifications include:

-experience working with older adults

-familiarity with Zoom Video Conferencing

-familiarity with DocuSign
