Non-profit in Needham is looking to add a Grant Specialist to their team!

I. Position Summary:

This position plays a primary role in the Research Administration team in many aspects of pre-and post-award sponsored awards management.

III. Position Responsibilities:

• Coordinate all aspects of the accounts payable function including but not limited to:

o Monitoring AP email daily, reviewing and taking appropriate action to staff submissions and invoices submitted via email

o Submit all reviewed, signed, and approved accounts payable including invoices and staff check requests to the central fiscal office for payment processing.

o Monitor invoices for proper coding, routing, and approval in compliance with institutional and federal policy and sponsored awards policies and regulations

o Perform data entry of invoices into AP tracking system

o Communicate with vendors and staff regarding payments as necessary

o Perform other related duties as required or as directed by senior research administration

oMonthly reconciliation of sponsored award accounts.

•Ensure that policies and procedures are followed and that best practices are implemented.

•Researches and analyzes transaction documents for accuracy, completeness, and compliance with institutional and sponsor regulations.

•Research account activity in response to faculty and staff inquiries

•Maintains updated process and work instructions relating to assigned functions.

•Responsible for the maintenance and proper filing of all AP documentation to ensure compliance with institutional, federal, and other sponsored award record retention requirements.

•Manages all Purchase Order operations from initiation through completion

•Responsible for monthly center Credit Card management and reconciliation

•Maintenance of subcontract invoicing and monthly balance reports.

•Runs monthly reports and distributes to PIs

•Assists in tracking payroll and effort on projects

•Researches transactions and accounting details to assist with financial analysis

•Performs special projects and other duties as assigned by the Director and others as appropriate.

•Provide regular training opportunities to staff on reimbursement and other accounts payable processes.

•Work with the senior research administration team to identify and carry out administrative actions for projects.

•Responds to requests for documentation and information from faculty and staff, involving senior research administration staff as needed

IV Qualifications

•1 – 5 years of related experience

•While a secondary degree is preferred, it is not required. Demonstrated work experience that required interaction with people in any field (business, finance, restaurant etc) is required.

•Experience in a high-volume customer service environment.

•Detail-oriented and able to function in a fast-paced environment;

•Excellent accounting, organizational, and interpersonal skills.

•Ability to work effectively, independently, and as a member of a team.

•Ability to exercise judgment, initiative, and discretion and to interact with staff and outside agencies in a professional manner.

•Must have a flexible approach to problem-solving

•Demonstrated competence in Microsoft Word, Excel, and Adobe platforms

•Must be able to learn and troubleshoot new software packages quickly

•Prior experience with federal grants and contracts is helpful

•Position requires strong organization, time management, and communication skills.

•The highest standards of accuracy, a desire to learn, the ability to quickly adjust priorities in a deadline-driven environment, and a friendly and professional approach are keys to success in this position.
