ABOUT TENSQUARE

Our strategic, hands-on engagements have led to significant gains in student achievement and organizational performance as measured by state exams and authorizer report cards. 

TenSquare seeks a Director of Operations for a charter school in Washington, DC. More information about the school will be provided throughout the interview process.

DESCRIPTION  

The Director of Operations is responsible for planning, coordinating, and supervising the day-to-day business operations of the school. The Director of Operations oversees all operational processes and functions including data, finance, human resource management, student recruitment and enrollment, compliance monitoring and reporting, facilities maintenance, security, and IT support.

Data and Information Technology Management

  • Oversee data collection and analysis to ensure reporting internally and externally is streamlined and accurate
  • Oversee external IT vendor (DNS) to ensure the ongoing maintenance and updating of information systems and infrastructure, including hardware, software and applications 

Finance

  • Oversee an outsourced accounting vendor (EdOps) and manage all financial processes including accounts payable, accounts receivable, monthly close, payroll, general accounting functions, annual audit, grant reporting, and regulatory reporting
  • Support Head of School in annual budget planning process and ongoing management to ensure organization hits financial targets and to adjust when mid-year variances are detected
  • Oversee asset management, including inventories of fixed assets 
  • Manage purchasing and procurement, including issuing RFPs in compliance with local, state and federal procurement guidelines
  • Develop and manage public and private grant budgets, including employing strong fiscal systems and overseeing vendor reimbursement submission

Student Recruitment and Enrollment

  • Oversee student recruitment efforts to ensure that the school achieves full enrollment each year
  • Ensure student information is collected in a timely manner to satisfy all external constituencies and the protection of student data 

Facilities and School Environment

  • Oversee all functions related to the physical plant, school property, and school equipment to ensure smooth daily operations 
  • Manage all facilities-related contractors (Service Industries) and service providers including evening custodial staff and all custodial contracts to ensure that school building is clean and well-maintained 

Safety & Security

  • Ensure that appropriate safety and security procedures are established and followed, and oversee security vendor (Securemedy)
  • Coordinate fire, evacuation, and crisis drills with the Head of School 
  • Coordinate with school leadership to manage reporting and remediation of all safety-related incidents 

Human Resources

  • In consultation with Head of School, develop and maintain personnel policies
  • Provide staff training and monitor compliance
  • Ensure effective staff onboarding processes 
  • Ensure development of process and job descriptions throughout the organization and ensure the school’s performance management process is running smoothly
  • Oversee benefits plans including managing the employee benefits brokers and ensuring all employee issues are resolved promptly

Development and Communications

  • Manage fundraising activities including completion of grant applications and grant reporting as well as donor cultivation 
  • Oversee communications, including marketing, website, and social media functions. Ensure that communications are timely, accurate, and engaging, and reflect the school’s mission

Compliance

  • Ensure compliance and timeliness with all regulatory agencies and funders, including the DC Public Charter School Board and the Office of the State Superintendent of Education
  • Ensure school-wide compliance with health and safety laws, charter contracts, state education mandates (including staff fingerprinting), and all federal and state workplace regulations

Operations Team Management

  • Supervise the Operations Team, including the Data Manager (external and internal data reporting and analysis, enrollment and records management, staff support and training), Registrar/Office Manager (recruitment and enrollment, student records, and equipment and facility maintenance) and Operations Associate (reception, purchasing and billing, daily student attendance and stipend records, staff time and attendance records)

QUALIFICATIONS 

Successful candidates will possess the following qualifications: 

  • Bachelor’s degree required, MBA or master’s degree in related field preferred 
  • Demonstrated ability to develop, implement, and manage business systems and processes to support a multi-million dollar organization, preferably in a school setting
  • Demonstrated comfort in IT management 
  • Excellent organizational, project management, and time management skills 
  • Exceptional ability to multitask 
  • Strong critical thinking and problem-solving skills 
  • Ability to plan and think strategically 
  • Exceptional verbal and written communication skills, with ability to communicate well with diverse constituents and staff 
  • Excellent people manager 
  • Demonstrated resourcefulness in setting priorities and guiding decisions involving system structures 
  • Commitment to accountability and data-driven decision making
