Description

Reporting to the Associate Vice President, Children's Fund, the Development Assistant provides administrative and programmatic support for the annual giving team, which helps sustain and increase annual support through the Lucile Packard Children's Fund. You will spend a lot of time learning and using Raiser's Edge and Excel and have the opportunity to work on more creative and analytical projects. This is an entry-level position where all aspects of the role can be taught.


General Position Duties and Responsibilities

Position Specific Responsibilities

Auxiliaries Relations

  • Coordinate meeting needs for Association of Auxiliaries including booking space, arranging catering, creating and compiling meeting materials and board rosters.
  • Process and submit expense reports and invoices.
  • Event support as needed including insurance requests.
  • Update and order letterhead, business cards, and other materials as needed.
  • Coordinate Affiliate related needs and compile reports.

Direct Marketing

  • Helps edit content and layout for appeals and collateral, contributing to overall strategy.
  • Manages 1-2 internal mailings, which can increase in breadth and responsibility as skills progress.
  • Acts as additional support to colleagues for special annual giving appeals (i.e. Auxiliary groups).
  • Performs administrative work between direct marketing team and third-party consulting firm.
  • Exercises discretion on highly confidential and sensitive information while maintaining excellent relationships with third-party consultants, outside vendors, and Foundation and Hospital staff.

Circles of Leadership Giving Societies

  • The Circle of Leadership giving societies recognize philanthropists who give $1,000-$25,000 to Lucile Packard Children's Hospital Stanford or the child health programs at Stanford University School of Medicine.
  • Helps execute the bi-annual stewardship mailing for Circle of Leadership donors.
  • Produces letters to accompany stewardship reports and communications.
  • Maintains stewardship schedules and project objectives.
  • Coordinates review across multiple Foundation teams.
  • Executes monthly stewardship packets for new annual donors of $10,000+.

General Administrative Support

  • Develops, organizes, and maintains donor and prospect lists by running and exporting queries in the Raiser's Edge database, manipulating data in Excel, and coordinating with Foundation staff.
  • Updates donor information in Raiser's Edge (i.e. managing 'do not contact' lists, membership lists, Board affiliation).
  • Pull event lists and fundraising reports.
  • Updates direct mail online editorial calendar, internal schedules, and Auxiliaries master calendar.

NOTE: We are a dynamic organization in a rapidly changing industry. Therefore, the responsibilities associated with this position will change from time to time in accordance with LPFCH's business needs. More specifically, the incumbent may be required to perform additional and/or different responsibilities from those set forth above.

Required: H.S. Diploma

Skills, Experience and Job-Related Requirements

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. Required:

  • 1+ years of experience providing administrative support in a team-based environment.
  • Willingness to learn Raiser’s Edge, Microsoft Office (particularly Word and Excel), direct marketing principles, and other skills necessary to perform well in the job.
  • Advanced writing and editing skills with a solid foundation in grammar, spelling, and content structure.
  • An eye for organizing and visually displaying information.
  • The ability to produce high-quality work with minimal errors when performing a variety of work functions such as typing, proofreading, data entry, file management, and calculations.

Preferred:

  • Previous experience working in a nonprofit environment, particularly a development office.
  • Prior experience in Raiser's Edge or other database software.
