The Choice Inc. is managing a Direct Hire search for a prominent DC foundation. We have worked with this organization for many years and are excited to assist them with this search.

We are looking for an experienced Executive Assistant to support the CEO of the organization. This individual must have demonstrated skills and experience in calendar management, travel arrangements, and general administrative functions. Previous similar experience at a nonprofit is a large plus. The Executive Assistant must be able to work under pressure and handle a wide variety of activities and confidential matters with discretion.

Job Duties to Include:

Executive Support

  • Manage the day-to-day calendar of the President and CEO; schedule meetings involving the President and CEO; coordinate all necessary arrangements including meeting rooms, conference lines/links, and confirmations.
  • Ensures availability of materials necessary for all meetings while in the office, working remotely, and on travel including agendas, briefings and leave behinds.
  • Manage all details of the President and CEO’s travel arrangements including complex, dynamic itineraries, flights, ground transportation, and hotels.
  • Coordinate the review, approval and signature of documents submitted to the President and CEO; actively communicate with staff on the status of their requests.

Administrative Support

  • Process incoming and outgoing mail
  • Assist with special projects and board meetings as needed.

Partner and Board Coordination

  • Facilitate board member interaction
  • Maintain discretion and confidentiality in relationships with all constituents.
  • Ensure day-to-day inquiries from the Board to President and CEO are acknowledged promptly.
  • Manage relationships with donors, partners and Office of the President contacts.

 Expense and Invoice Processing

Qualifications:

  • A Bachelor’s degree is required. Five or more years of experience as an administrative assistant preferred. 
  • Strong communication skills, oral and written.
  • Technologically savvy; skilled with MS Office Suite including Excel, Word, SharePoint, and PowerPoint. Experience with MS Outlook should include managing calendars and contacts as a delegate. Familiarity with financial software and databases a plus.
  • Extreme attention to detail and ability to accurately prepare and proof materials, calendars, and correspondence.


The position will start remotely due to COVID-19 safety measures, however an eventual return to the Washington, DC office should be expected in some capacity. The office is easily accessible to all Metro lines.
