Administrative Assistant at Education Non-Profit

We are seeking an Administrative Assistant for our clients, a Higher Education nonprofit located in downtown Washington DC. This is an immediate need in the Office of the Senior Vice President. The position will begin remote and we are looking for a candidate with the flexibility to go in to the office when they return.


 Primary Job Responsibilities: 

  • Manage and coordinate calendar and meetings, including the preparation of briefing folders and assembling of meeting materials 
  • Manage all purchase orders in the financial system 
  • Manages catering orders for meetings 
  • Provide support as needed to the SVP and Director when planning for high level meetings and events
  • Support the SVP and Director in the administrative and logistical planning process associated with the development of the organization’s strategic priorities 
  • Manage duplicating and faxing, as necessary 
  • Coordinate and prepare travel or transportation plans, as required by the SVP 
  • Assists the Director with time-sensitive messages, scheduling, and other requests
  • Serves as the first point of contact for receiving and screening phone calls to the SVP’s office 
  • Opens and sorts mail for the SVP and distributes to the proper individual when appropriate 
  • Works on special projects as assigned 

Education/Experience/Specialized Knowledge and Competency Requirements: 

  • Bachelor’s degree or equivalent experience and at least three years executive office experience 
  • Excellent communication skills, including writing, proofreading, and grammatical skills, as well as effective verbal and interpersonal skills 
  • High proficiency with MS Office products including Word, Excel, Access, PowerPoint and Outlook; SharePoint Experience desired 
  • Ability to work independently and respond to requests/issues in a flexible/adaptable manner in a fast paced office environment 
  • Demonstrated ability to interface with others in a highly professional manner and maintain confidentiality when dealing with sensitive matters
