Isaacson, Miller (IM), a national retained executive search firm specializing in leadership recruitment in the civic sector, seeks a proactive and thoughtful Finance & Contracts Support Specialist (Support Specialist) in our Boston headquarters. The Support Specialist will primarily provide support to the Senior Staff Account and the Contract Administrator, as well as general support to the Finance team, with contract drafting, data entry, filing and scanning. This role requires considerable communication between finance and contracts. However, a background in legal or accounting is not required. This is a great opportunity for someone with past office experience looking to learn more about the business side of operations.

Contract Support (30%)

Reporting to the Senior Staff Accountant and Contract Administrator, the Support Specialist will serve as a liaison between the Contract Administrator and the Finance team. They will assist with the review of submitted contract requests via IM’s open forms and follow up with requestor for any missing information; draft, as needed, contracts using IM’s standard contract templates; verify that any changes between the initial draft and the final signed contract are properly documented and any required revisions to billings are properly communicated; file executed contracts in the IM database; notify  partners bi-weekly of any outstanding contracts and follow up with the client on the status of any unsigned contracts as needed; monitor PO’s and verify they match the contract terms and the numbers are properly entered into the IM accounting system; create new search records in the IM database and update at the close of each engagement.     

Billing (30%)

Record new searches in the IM accounting system and in any accompanying systems and process daily check deposits and ACH payments from client. Send mid-month and month-end invoices to partners for approval. Upon approval, e-mail them to clients. Keep track of searches with deliverable-based billing schedule and contact partners if invoices can be sent.

Clerical (40%)

Mailing and filing weekly check runs; filing, copying and scanning to assist with monthly billings; redacting confidential information from IM candidate reimbursement requests; provide back up support for billing and collections. 


IM seeks candidates with a bachelor’s degree and at two years of office experience. Although no one person will meet all of these criteria, the successful candidate will possess many of the following qualities and experiences:

  • Honesty, openness, and a healthy sense of humor
