Duties & Responsibilities
Responsible for administering several important revenue-producing adult education programs at the Program on Negotiation including: The Harvard Negotiation Institute programs, which focus on critical aspects of negotiation and mediation; participants are eligible for continuing legal education credits (CLEs). Held for two weeks in June and one week in September or October; the PON Seminars, two semester length courses held on the HLS campus; enrollment is open to the public; and the PON Master Class, an advanced executive education course, which will likely be offered once or twice a year. Participates in planning and assists as needed with administering PON Global programs.

Harvard Negotiation Institute programs:
  • Works with Assistant Director to ensure delivery of quality programs
  • Works with Marketing Director on marketing the courses
  • Works with Finance Manager on collection and reconciliation of course tuition (wires, credit card and check payments) as well as issuing refunds
  • Oversees production of course binders and other materials
  • Manages enrollment and registration for courses
  • Responsible for insuring that information on the website is current
  • Coordinates with faculty and assistants about course content and logistics
  • Coordinates with local hotels for offsite events as well as room blocks for participants
  • Manages room reservations and AV and other administrative components to ensure the smooth operation of the courses
  • Coordinates with Restaurant Associates on selection and presentation of meals
  • Works with Event and Office Assistant on customer service, participant database, and program logistics
  • Oversees production and distribution of certificates
  • Works with Workshop Coordinator on CLE credits
  • Responsible for tabulation and dissemination of evaluation/feedback forms
  • Writes full report of HNI program for annual meeting with HLS and others
  • Manages inventory of HNI supplies
  • Plans participant reception with Harvard Faculty Club

PON Seminars:
  • Works with Assistant Director to ensure delivery of quality programs
  • Works with Finance Manager on collection and reconciliation of course tuition (wires, credit card and check payments) as well as issuing refunds
  • Responsible for all administrative tasks relating to two semester-length courses, including:
  • Publicity and registration
  • Room reservations, AV
  • Coordination with faculty
  • Working with course Teaching Assistants to identify and meet class needs
  • Development and production of materials
  • Production and distribution of certificates
  • Tabulation and dissemination of evaluation/feedback forms

PON Master Class
  • Manages logistics and program delivery for PON's Master Class, working in collaboration with faculty and other staff
  • Coordinates with PON Senior Event Planner and Event and Office Assistant as needed
  • Coordinates with Marketing Director on marketing materials
  • Works with Finance Manager on collection and reconciliation of course tuition (wires, credit card and check payments) as well as issuing refunds
  • Coordinates with local hotels for offsite events as well as room blocks for participants
  • Coordinates with outside customer service/course registrar to manage enrollment
  • Arranges all logistical aspects of course delivery, including room reservations, AV, food service
  • Responsible for production of course materials and certificates
  • Ensures that evaluations are collected and tabulated and information is disseminated

PON Global
  • Schedules faculty for two one-hour videoconferences per program
  • Manages room reservations and coordinates with AV to schedule and run faculty videoconferences
  • Assists with the production of course materials as needed


Basic Qualifications
Minimum 5 years of experience in office administration and/or event planning.

Additional Qualifications

Bachelor's degree strongly preferred. Proficiency in MS Office including Word, Excel, and PowerPoint. Proven record of successful project management and event management experience. Relevant experience in an office environment. Must be able to manage workload, prioritize tasks in a busy and challenging environment, and operate independently with minimal supervision. Exercises sound judgment and has ability to manage time effectively throughout the year, anticipating program needs and being pro-active. Shows careful attention to detail. Successful candidate must have excellent interpersonal and communication skills and be able to interact effectively with faculty, course participants, and staff. Will enjoy working collaboratively with fellow staff members and is a cheerful and collegial team player, helping out as needed. Has an understanding of and appreciation for the mission of PON. Knowledge of and experience in field of negotiation preferred. Familiarity with event management software, especially Cvent.

Additional Information

This is a term appointment currently expected to extend to June 30, 2020 subject to funding and departmental need.
