Youth Initiatives Assistant

The American Museum of Natural History (AMNH) in New York City is one of the premier science, research and cultural institutions in the country. The American Museum of Natural History is seeking an Assistant to support the administrative and operational needs of seven educational programs within the Youth Initiatives (YI) department. YI is comprised of approximately 19 people who are responsible for developing and implementing programs for middle, high school and college youth, serving about 1,600 people annually. In addition, this person will also work with other staff across the organization.

Specific responsibilities will include, but are not limited to:

• Ordering supplies for department of 19 people

• Managing purchase orders for student stipends, honoraria, etc.

• Processing invoices from all vendors and troubleshooting as needed

• Scheduling staff for required trainings, and maintaining records of completion

• Supporting staff with all business travel

• Process all tuition waiver applications and communication outcomes to families

• Managing all reimbursements for petty cash and other miscellaneous expenses

• Managing payroll for full-time and part-time staff

• Supporting internal events, such as staff milestone celebrations

• Work at least 2 large programs per year, in a support capacity

• Assist with data entry for internal programs and events

• Organizing regular staff meetings including room set-up, agenda preparation and follow-up

• Supporting all office needs including supply inventory, general tidiness, solving internal facilities issues, etc.

• Supporting the development of standard operating procedures for the department and educating our staff on how to utilize

Required Qualifications:

• Bachelor’s degree

• Two or more years of administrative experience

• Competency in word processing (Microsoft Word), spreadsheets (Excel), and Google Suite

• Availability to work some after hours and weekends to support programming.

Preferred Qualifications:

• Demonstrated experience working as part of a team of professional staff members

• Ability to analyze spreadsheets

• Experience working in a fast-paced, high-energy educational start-up environment

• Familiarity with database applications (FileMaker Pro, Microsoft Access, and/or other databases), payroll and/or purchasing applications (e.g. Oracle, Concur, ADP ),

• Demonstrated work experience requiring concise, logical, and clear written/verbal communication

• Demonstrated ability and experience to work independently, to set priorities, and to complete work under pressure of deadlines, multiple responsibilities, and duties

• Demonstrated ability to be proactive in identifying ways of supporting and streamlining work across the department, as well as across the internal administrative team

• Ability to self-manage and work towards deadlines and goals with minimal supervision

• Willingness to ask questions and take an active role in learning new responsibilities

• Ability to maintain complex paper/electronic filing systems and improve efficiency of paper flow

• Ability to track multiple administrative projects with accuracy and timeliness

• Ability to research, assimilate, interpret, explain, and apply a variety of administrative and museum policies and procedures

• Ability to organize and follow through effectively on work assignments according to priorities and despite unexpected or changing demands

• Excellent problem-solving skills with the ability to formulate creative solutions, and make sound decisions on when to resolve vs. when to escalate
