The position provides comprehensive project coordination and support in areas, including, but not limited to: calendar and meeting facilitation; project support; domestic and international travel coordination; expense reconciliation; general executive support; divisional and other duties.


PRINCIPAL DUTIES AND RESPONSIBILITIES: Indicate key areas of responsibility, major job duties, special projects and key objectives for this position. These items should be evaluated throughout the year and included in the written annual evaluation.


1. Calendar & Meeting Facilitation (25%)

a. Plans, manages, and facilitates meetings, seminars, and conferences. Specific responsibilities include:

i. Obtaining and organizing planning information

ii. Receiving appropriate approvals

iii. Reserving location(s) and ordering A/V, food services, etc.

iv. Preparing agendas, schedules, syllabi, and/or teaching materials

v. Coordinating attendance and communication

vi. Managing other items, including budgets, as necessary

2. Project Support (15%)

i. Provides project support on new and on-going initiatives

ii. Maintains confidentiality of information that is sensitive in nature while ensuring that project goals are achieved

iii. Manages the day to day operational aspects of the scope of the project

iv. Takes ownership of projects under the direction of the Administrative Director

v. Makes decisions and executes on project assignments based on knowledge of practice operations and through research and collaboration

3. Domestic and International Travel Coordination (10%)

i. Prepares domestic and international travel arrangements

ii. Corresponds with sponsoring institutions and societies

iii. Prepares itineraries

4. Expense Reporting (10%)

i. Monitors and reconciles Administrative Director’s expenses

ii. Collects, organizes and prepares information for submission of domestic and international travel and other expense reimbursements

5. Executive Support (25%)

i. Answers, screens and routes telephone calls in a timely manner

ii. Communicates with Division and Departmental leadership under the direction of the Administrative Director

iii. Greets and directs patients and visitors

iv. Responds to requests for routine information or assistance within scope of knowledge 

v. Composes routine and advanced correspondence

vi. Completes standardized and non-standardized forms

vii. Maintains files and confidential record keeping systems

viii. Opens and sorts mail

ix. Photocopies, sorts, collates and distributes documents, as required

6. Divisional & Other Duties (15%)

i. Attends team meetings as required and contributes in a positive manner

ii. Supports Division initiatives as they are implemented

iii. Seeks improvement opportunities throughout Division

iv. Performs other duties, as assigned

Qualifications:

• Bachelor’s Degree required.

• Minimum two years relevant work experience preferred.

• Ability and skills necessary to fulfill above requirements. 

• Excellent customer service skills required.
