Description

Top notch university seeks a Faculty Support Specialist to support faculty with complex administrative duties related to their teaching, research, and other responsibilities. The position requires individuals to work independently with minimal supervision and to work effectively as part of a team. Faculty Support Specialists must have outstanding organizational skills and a meticulous attention to detail; an ability to communicate effectively and professionally in writing and verbally; demonstrated initiative and willingness to continuously develop new skills; and an ability to work with multiple supervisors and manage competing priorities, meet deadlines, and follow through on projects. The position requires a strong customer service orientation, good judgment and flexibility. The ability to handle confidential material with tact and discretion is essential. Strong Microsoft Outlook, Word, Excel, and PowerPoint skills required; database management experience is desirable. BA/BS preferred, or an equivalent of education plus experience in an office environment. Overtime may be required.

Specific duties include but are not limited to the following:

• Supports faculty when they are teaching; preparing handouts for class; coordinating arrangements for class visitors; participates in proctoring exams; coordinating audiovisual support for the classroom as needed. Responsible for maintaining course platform for faculty, producing seating charts, updating class lists, etc. • Manages complex calendars, scheduling appointments with students and others, making room and catering arrangements as necessary, and preparing documents for meetings. Determines faculty preferences for meetings and plans accordingly, keeping faculty well informed of schedule and any changes. • Coordinates complex travel arrangements. Prepares itineraries and documents to facilitate faculty travel; assesses different itineraries for cost, convenience, and faculty preferences; and arranges for travel visas. Prepares and processes expense reimbursements in a timely and accurate manner. Tracks outstanding faculty expenses. • Prepares documents for articles, cases, and presentations which may include proofreading, formatting exhibits and citations. • Performs basic online research; retrieves books, articles, and other information. • Maintains accurate and organized electronic and paper files for faculty. Practices careful version control of all documents with logical naming conventions, etc. • Greets visitors as primary contact on faculty’s behalf, and responds to phone calls, faxes, voicemail, and emails in a timely manner. • Orders office supplies.

Faculty Support Specialists are expected to demonstrate a commitment to excellent customer service delivery and an ability to serve multiple constituents utilizing good judgment, excellent communication skills, and tact and discretion. Faculty Support Specialists are expected to take initiative to leverage the faculty’s time and be resourceful in finding solutions and information.

These skills are evidenced by a positive attitude towards all people the Faculty Support Specialists interact with, a willingness to help colleagues, timely responses to all inquiries, and excellent follow through on individual tasks and large projects. Professionalism should also be evident through, but not limited to, promptness, reliability, and an ability to hear and implement feedback.

Work Product

Faculty Support Specialists are expected to produce high quality work; this will require an attention to detail, organizational skills, effective project management skills, and an ability to multitask and meet deadlines. These skills are evidenced by Faculty Support Specialists who are efficient, accurate, flexible, and work effectively under pressure.

Technical Skills

Faculty Support Specialists are expected to be comfortable with technology and a variety of software packages, including a required proficiency in Microsoft Office applications and other platforms and processes. They are also expected to be willing and able to learn new technology and skills as required. These skills are evidenced by a Faculty Support Specialist’s ability to use technology effectively in support of the faculty member’s various needs. They are also evidenced by a Faculty Support Specialist’s initiative to develop new skills as necessary to meet the demands of and excel in an ever changing work environment.
