Position Summary

The Chief Operations Officer (COO) will maintain primary responsibility for THI’s administrative functioning to include operations and financial management, human resources, and organizational strategy.

This position will work closely with and report to the Executive Director (ED). The COO is a member of THI’s collaborative Executive Leadership Team (ELT) that focuses on strategic development and consistently working to make THI an effective and efficient organization and employer. This position is fully remote and part of a person-centered workplace.

Primary Responsibilities

The essential duties of the Chief Operations Officer can be categorized into 4 areas of focus:

Operations Management:

• Develops, establishes, and directs execution of operating policies to support organizational policies and objectives.

• Develops, manages, maintains, and directs all office procedures (SOPs) and resources,

including files and records, travel, meeting arrangements, furniture, and equipment maintenance

• Oversees the administration of THI contracts to include business and vendor contracts, subcontracts, and grant and federal agreements. Reviews all legal documents and Terms of Services to ensure compliance with federal procurement standards, when applicable. Serves as the Authorized Signatory Official (ASO) for grants.

• Establishes fee schedules and evaluates cost and effectiveness of earned revenue programs.

• Manages Institute’s facility agreements and assets.

• Identifies, selects, and works with consultants (e.g. legal, financial, HR) to supplement expertise when necessary.

Human Resources:

• Oversees and ensures accuracy of payroll, employee benefits, business insurance.

• Ensures compliance with all labor law and employment practices.

• Leads the strategic growth and administration of staff recruitment and retention efforts.

• Oversees performance evaluations and compensation review process.

Financial Management:

• Develops annual organization budget and ensures alignment across project and grant budgets.

• Oversees monthly and annual financial reporting, including conducting an annual audit and federal single audit.

• Monitors financial performance and develops long range financial plans that align with THI's strategic priorities.

• Reviews and approves financial transactions. Manages banking relationships and investment accounts.

• Manages government contract revenue and restricted funds usage.

• Acts as liaison with the Board of Trustees and Audit Investment and Tax Committee.

Leadership

• In the absence of the ED, engage with the Board of Directors, primary funders, and key external stakeholders around THI’s impact and strategic priorities.

• Collaborates with the ELT to identify and implement organization and staff development initiatives.

• In partnership with the ELT, implement a standardized process to track progress towards organization-wide goals.

• Actively participates in the development of funding proposals and new initiatives.

• Serves as the Leadership Team lead for Operations staff.

• Remains up to date on best practices for person-centered management and non-profit leadership.


Qualifications and Experience

The ideal candidate is a self-starter, well-organized and motivated to advance meaningful change in a growing, mission-driven organization.

▪ Knowledge required is equivalent to the attainment of a bachelor’s degree and 10 years’ experience in this type or a related position.

▪ Experience negotiating, executing, and managing contracts as well as overhead expenditures, administration, and personnel.

▪ Experience in revenue development strategies, including earned revenue and/or fundraising strategies.

▪ Knowledge of GAAP and accrual-based accounting practices. Experience with annual audits.

▪ Proven ability to forecast financial models and control expenses, while supporting organizational growth.

▪ Ability to make appropriate decisions in the absence of Executive Director.

▪ Ability to effectively communicate in writing and verbally with board members, external partners, and organization staff.

▪ Depth of experience in managing teams, supporting cross-functional collaboration, developing staff, and setting clear goals

▪ Proficient computer skills including MS Office, Teams, Zoom and/or cloud-based software and applications.

▪ Ability to work with confidential and sensitive information.


Preferred Experience:

▪ Master’s degree and prior leadership experience leading or supporting a remote team is preferred.

▪ A strategic thinker with demonstrated experience and understanding of how operations and finances support the broader mission of an organization.

▪ Experience in nonprofit financial management, including experience with government contracts, is a plus.


THI’s Work Environment:

We are a high-performing, collaborative team that is part of a person-centered workplace that leads with empathy and grace. Our work is performed in a fully remote environment, with required residency in Texas, ideally living in or near Austin.

Compensation:

The anticipated annual salary range at hiring is $126,000 to $136,000 and will be commensurate with experience and qualifications.

Additionally, an annual stipend is available to support professional development along with a one-time stipend for the purchase of equipment for working remotely.
