Position Overview

The Advancement Services Assistant will work with internal stakeholders to ensure efficient, timely, and accurate gift processing, database information and report production. This position helps ensure the overall integrity and quality of the donor database.

Essential Duties and Responsibilities

Gift Processing (40%)

  • Serves as a liaison to financial staff, development staff, and other Aspen Institute staff on gift processing.
  • Prepares weekly gift entry reports to check the accuracy of gift data and coordinate regular reconciliations with accounting data.
  • With direction, formalize and document gift processing procedures.
  • Performs data entry and maintenance for gifts, pledges, proposals, constituent demographic, affinity, and other constituent information.

Data and Reporting (40%)

  • Prepare standard and ad hoc reports using combination of Salesforce and Excel.
  • Assist in the preparation of campaign/appeal analyses and donor recognition materials.
  • Perform data entry of new constituent records in the database as needed.
  • Assist with data cleanup initiatives.

Other (10%)

  • Provides general support of events and activities as part of the Institutional Advancement team, as needed.
  • Assists with other Institutional Advancement tasks, including prospect research.

Knowledge, Education and Experience

The ideal candidate will possess the following skills and attributes:

  • Experience in an office setting, preferably a nonprofit.
  • Experience working with relational databases or coursework in programming.
  • Exposure to or coursework in Accounting.
  • Ability to work independently and take initiative
  • Excellent oral communication, interpersonal, and writing skills
  • Ability to handle multiple tasks and complex projects simultaneously
  • Desire and willingness to learn.
  • Understanding of privacy standards and ability to maintain confidentiality of constituent information
