With supervisory responsibility for two direct reports, the Lead Education Coordinator guides all aspects of abstract management and submission processes for Scientific Program, including Ask an Expert, Medical Student Program, OrthoDome, Papers, Posters, Poster Tours, Symposia and TechTalks. Works in collaboration with Central Program Committee on creation of abstract application for Papers, Posters and Symposia; and creates and implements abstract support plan that includes training of AAOS staff, scheduling, and support; develops training materials for the Program Committees in grading of applications for Annual Meeting. Oversight of final abstract collection and editing of abstracts. Reviews proposals for Posters, ePosters, and Proceedings. 

Leads a staff team, including two direct reports, that supports the delivery of the Annual Meeting education, joint providership, and accreditation processes, which includes but is not limited to detailed project management keeping all projects forward moving and on time; compliance with ACCME regulations; working with business lead to support strategic plan and committee recommendations.   

Responsible for staff development, performance management, work planning/delegation for both Education Coordinators.

Responsible for all aspects of the Ask an Expert and TechTalks sessions, OrthoDome, Medical Student Program and Scientific Program, which includes strategic layout of educational allotments of sessions per classification for Symposia, paper sessions, poster sessions, and poster tours which includes coordinating the International Education with appropriate staff to determine multiple International education sessions, papers, posters and poster tours, as well as the development of floor plans for education presentations.   

Corresponds with moderators of Ask an Expert, TechTalks and Symposia including acceptance/reject notifications and manages faculty conflict reports. Work with Committees to review and grade new applications; provides instruction on grading and select Paper and Poster sessions. Works with Program Chairs to select Paper and Poster Moderators, work with Chairs to develop programming for OrthoDome and Medical Student Program; and finalize Ask an Expert participants, Works with Commercial Solutions Team to obtain grant sponsorship for Medical Student Program and reconciliation of sponsorship. 

Develops, coordinates correspondence and counsels committee members, co-authors, faculty, and presenters concerning their abstracts, presentations, and sessions. Contributes to development of new formats of education and manages the correspondence to participants. Compiles and organizes correspondence, reports, and agenda materials for all committee meetings, including course evaluations and comments. Attends Central Instructional Courses, Central Program, and other required Committee meetings. Oversees the production of materials for Academy Hall. Responsible for all Annual Meeting education web pages and serves as primary contact for changes / updates.   

Responsible for RFP development, analysis, negotiation, and enforcement of agreements for Annual Meeting projects including electronic posters, papers, posters, and Proceedings site. Develops timelines and supervises on-site performance. Directs the education vendors to produce materials and reports needed to streamline the Preliminary and Final Programs, and Proceedings. 

Responsible for working with the Central Program Committee Chair to develop the Poster Awards program. Also organizes processes with vendor for production and floor plans of the Poster Tour Theater and Awards program. Develops and coordinates correspondence with poster award winners.

Qualifications:

Required:

  • Undergraduate degree with experience in meeting planning and science and/or medical terminology a 
  • High level of project management experience, knowledgeable in assessing and managing risk of project, scope management and project schedule development. 
  • 2-5 years association and/or meeting planning experience  
  • 2-5 years Accreditation Council for Continuing Medical Education (ACCME) knowledge and experience 
  • 1-3 years of supervisory experience, including staff development and performance management.
  • Excellent communication (both written and oral), organizational, human relations and computer skills. Experience communicating within an organization – top to bottom – and with outside partners, vendors, and other business associates. Extraordinary time management skills, capable of anticipating competing demands and prioritizing tasks and projects accordingly. Provide timely resolution of inquiries. Foster open, frank communication and dialogue. 
  • Takes initiative and can be depended upon to follow through on all responsibilities, consistently delivering quality work. 
  • Capable of exercising sound judgement in executing tasks and responsibilities commensurate with authority, escalating issues appropriately. Accepts responsibility for decisions. 
  • Current knowledge on emerging technologies for education delivery to health care professionals. 
  • Proficient in Microsoft Office Suite. TEAMS and SharePoint.

Desired:

  • Knowledge of Personify Experience in association education planning 
  • Experienced and capable of taking a project from the early idea stages through to full program implementation and management. Specifically, drafting proposals, presenting ideas to leadership, collaborating with stakeholders to gain buy-in, setting objectives, launching a program, and tracking its success and/or outcomes.
