Duties & Responsibilities

Reporting to the Assistant Director of Events and Outreach, the Communications and Events Coordinator is responsible for a portfolio of diverse events and variety of communication projects at the Center for Public Leadership (CPL), Harvard Kennedy School (HKS). Working in an energetic and fast-paced office, the Communications and Events Coordinator will produce and promote high-touch CPL events, oversee social media operations and support website management, including writing original marketing content, and provide administrative support to the communications and events team. In addition to supporting CPL events and marketing efforts, the Communications and Events Coordinator will work across Harvard systems and departments to assist with the planning of HKS and university cosponsored events. S/he will also facilitate graduate student-run events, partnering with HKS students to develop event content and coach student event leaders. The successful candidate will be a motivated and resourceful self-starter with the ability to meet deadlines, creatively and independently problem-solve, track multiple projects and deliverables, and communicate clearly with a broad range of CPL stakeholders including senior CPL leadership, faculty, distinguished guests, and students.

Position Responsibilities:
I: Event Planning and Execution (60%):
  • Administers CPL events including student seminars, private dinners, and high-profile public events at CPL and Harvard. Fosters relationships with stakeholders across campus to create event partnerships and strategic collaborations.
  • Supports communications and events team in delivering large-scale, high-profile events including conferences, board meetings, and school-wide collaborative initiatives.
  • Executes event logistics including, but not limited to, booking event spaces; working with internal and external vendors; preparing travel arrangements and itineraries; promoting events; tracking attendance; day-of event production (event room set-up/breakdown, confirming catering and media services delivery, welcoming guests and speakers, live-tweeting, and other responsibilities); collecting and analyzing feedback from event attendees.
  • Manages relationships with distinguished event guests and their staff, providing detailed logistics briefings and coordinating connections with Harvard stakeholders while guests are on campus.
  • Other event-related responsibilities as needed.

II: Communications (25%):
  • Drafts original content for internal and external promotional materials.
  • Drafts event speaker invitations and talking points as needed for CPL leadership.
  • Manages CPL's social media portfolio, specifically Facebook and Twitter. Collaborates with communications and events team to create social media strategy and implementation plan.
  • Works with public and confidential information as needed to assemble guest lists, biographies, and additional material for high-level events.

Ill: Administrative: (15%)
  • Processes invoices for communications and events team activities.
  • Oversees scheduling and booking of shared CPL event space, including the Darman Room.
  • Administers two CPL shared calendars and two CPL events shared inboxes.

    During the academic school year, the coordinator will work an average of 1-2 evenings a week for on-campus events.

Basic Qualifications
  • 2+ years of direct experience in communications or events.

Additional Qualifications
  • B.A./B.S. strongly preferred

  • Strong oral and written communication skills, excellent planning and organization skills, and keen attention to detail.

  • Experience in higher education or similar work environment preferred.

  • Ability to embrace frequent change with professionalism, self-assurance, and composure.

  • Proficiency in Drupal and/or other website content management systems is preferred.

  • Familiarity with SurveyMonkey, MailChimp, Hootsuite, and Canva a plus.

  • Motivated and resourceful self-starter with the ability to meet deadlines, creatively and independently problem-solve, manage up, and communicate clearly with a broad range of CPL stakeholders.

  • Ability to relate well on many levels with high-profile visitors with poise and self-confidence.

  • Proven ability to work independently and in a team environment on multiple projects simultaneously.

  • Experience creating and writing reports, memoranda, letters, budgets, and event materials.
  • Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
