About the Artificial Intelligence and Emerging Technology (AIET) Initiative: By publishing timely, rigorous research and bringing together leaders and researchers from across the technology and policymaking sectors, AIET strives to identify the governance models and best practices necessary for society to gain the benefits of A.I. and emerging technology while responsibly managing their risks. Under the leadership of Brookings President John R. Allen, the independent and non-partisan research of AIET draws on scholars from all five research programs at Brookings, as well as relevant experts from academia, government, civil society, and the technology industry. Importantly, AIET seeks to bridge the growing divides between industry, civil society, and policymakers.

Position Location: This position is hybrid. Hybrid positions combine regular in-person presence at our Washington, DC, office with the option of at least two days of remote work each week.

Join the team at the Brookings Institution’s Artificial Intelligence and Emerging Technology Initiative (AIET) and work with experts as they work to advance good governance of transformative new technologies.

The Program Coordinator provides administrative, project, and communications support to AIET. Working closely with its leadership, the Project Coordinator will manage activities, deadlines, and deliverables, including for special projects such as the Brookings Global Forum on Democracy and Technology and Brookings TechStream. The Project Coordinator will organize public events, private roundtables, and publications.

About the Global Forum on Democracy and Technology: Through research and convenings, the Brookings Global Forum on Democracy and Technology seeks to develop shared practices and applications for technology that can strengthen democratic societies around the world.

About TechStream: Brookings TechStream aims to host “tomorrow’s tech policy conversations today.” The goal of Brookings TechStream is to demystify new technologies and discuss their policy implications as early as possible. By bringing together leading technology and policy experts from around the world, Brookings TechStream seeks to debate how best to secure the benefits of new technologies while limiting their risks—before they occur.

Operations and Project Support (50%)

  • Maintain detailed records of AIET activities, including deadlines, deliverables, publications, meetings, media contacts, etc. Manage sensitive information and materials with discretion.
  • Compile and maintain a database on the impact and media coverage of AIET research and activities.
  • Assist in gathering information for and the drafting of grant reports and proposals, as needed.
  • Oversee AIET internship program, managing recruitment, onboarding, mentorship and supervision.
  • Arrange meetings for AIET leadership and staff and respond to meeting requests for AIET scholars.
  • Arrange travel and prepare itineraries; process reimbursements; verify procurement card charges.
  • Manage AIET office space and information technology.

Communications, Publications, and Events Support (50%)

  • Organize public and private events, overseeing all event logistics and ensuring that events are successful.
  • Create and manage author and vendor contracts to ensure agreed-upon payments and deliverables are met.
  • Assist with layout, formatting, proofreading papers, briefs, and other written materials.
  • Manage operations for Brookings TechStream, including overseeing contracts and payments, conflict of interest forms, and publication workflows.
  • Maintain the AIET and Global Forum websites and post content to AIET scholar expert pages.

Education/Experience Requirements:

Bachelor’s degree required. Minimum two years of relevant work experience required. Experience in event planning, administrative support, and project coordination a plus. Work experience in a fast-paced work environment and a background in a research or academic setting are strongly preferred. Must be authorized to work for any employer in the U.S.

Knowledge/Skills Requirements:

Uses judgment to identify opportunities and anticipate problems, suggest solutions; excellent written, organizational, communication and people skills; ability to work independently and with a team; ability to complete tasks with minimal supervision; initiative, poise, mature judgment and attention to detail; must be able to handle sensitive and confidential information with discretion. Basic HTML/web publishing experience; interest in technology policy preferred. Ability to manage multiple tasks, set priorities, and adjust to shifting priorities is needed; ability to meet deadlines and manage competing demands under minimal supervision. Ability to take initiative and work independently as a reliable team player. Discretion and demonstrated ability to interact diplomatically and professionally with high-level officials. Familiarity with WordPress, InDesign, and other publishing tools preferred. Microsoft Office experience required (Word, Access, Power Point, Excel).
