We are seeking an Executive Assistant to support the logistical, operational, and communication details for the leadership of our national teams. These teams provide support services, such as financial, administrative, IT, legal, and strategic talent support to our internal teams. The Executive Assistant will play a central role in providing efficient, responsive, and proactive support in order to maximize leader's time and advance the organization's strategic agenda. They will manage our national office operations and collaborate with a team of Executive Assistants/Associates within a culture of teamwork, innovation, and accountability. This role will report to the Vice President, People & Culture.


Administrative Support (50%):

  • Manage calendars and arrange complex meetings and schedules while maintaining close attention to detail and confidentiality; ensure that meeting details are confirmed (attendance, time/duration, location, agendas), and proactively plan for travel time and other logistical considerations
  • Provide comprehensive administrative support to two to four senior leaders by managing their daily workflow and administrative operations, including expenses for them and their teams
  • Book and manage all travel arrangements for visits to our network team offices, internal meetings, and to external events

National office management (25%):

  • Manage the day-to-day day operations of the Boston office, including working with the building manager and other vendors, ordering supplies, filing, and responding to email and phone inquiries on behalf of the organization
  • Proactively communicate with building management in order to ensure efficient office management
  • Receive and distribute mail, documents and packages delivered to the Boston address
  • Provide support for the utilization of the Boston office, considering the Achievement Network's mission and core values as drivers of the planning
  • Support the Chief Financial Officer in researching and implementing potential creative office solutions that maximize our current space (e.g., subleasing to other nonprofits)
  • Support a strong organizational culture and foster a sense of organizational fun, culture and values at the Achievement Network by working with relevant committees and teams
  • Manage an office budget for snacks and supplies and manage associated vendor relationships (e.g., Iron Mountain for document retention and Earthworms for recycling)

Team Coordination (25%):

  • Track deadlines and/or update organizational systems to ensure individual and team productivity and effectiveness
  • Ensure efficient information sharing systems within the team by sending reminders, updating trackers, etc.
  • Support the execution of team meetings and retreats, including managing all logistics and operations, confirming/communicating agenda with stakeholders, etc.
  • Manage the ordering and distribution of employee anniversary awards (e.g., tote bags, ipads, etc.) and planning/coordination of anniversary events (e.g., 3 year anniversary dinner)
  • Build systems and structures that assist leaders in projects that drive ANet's total value proposition (e.g., cultivating nominations for core values champion award)

Ideal candidates may also demonstrate the following preferred qualifications:

  • Advanced proficiency in creating, compiling, and tracking documents, spreadsheets and presentations, with familiarity of Google applications including Google Calendar, Drive, and Gmail
  • Prior experience in an operations, logistics, or administrative role
