education organizations at the city, state, and national level to improve urban school systems.

strategies: 1) funding; 2) building the capacity of key city-based education organizations through

advising and governance support; and 3) convening communities of practice to facilitate peer-to-peer


Position Overview

As a start-up organization, The City Fund is currently hiring its core team, including three Executive

Assistants, who will play a critical role supporting The City Fund’s partner team and empowering them to

maximize their effectiveness. In this role, Executive Assistants manage all scheduling, travel planning,

expense reporting, and other administrative functions for four partners at any time.

As a front-line representative of The City Fund, the Executive Assistant will have direct contact with the

most senior leaders (and affiliated support staff) in the education sector. High levels of professionalism

and outstanding customer service instincts are vital to success in this position. This position will report

to the Director of Finance and Operations. As a 100% virtual organization, we seek professionals who

are comfortable using technology to connect with others and who excel in a flexible and autonomous

work environment.

Overview of Responsibilities

• Ensure effective Google calendar management for up to four partners: scheduling calls,

meetings, and daily calendar management

• Participate in or lead team-wide calendar management for major projects and events

• Serve as scheduling liaison between partners and remainder of the team

• Book travel and prepare travel itineraries when requested

• Draft partner expense reports through Expensify

• Develop relationships with the executive assistants of key City Fund stakeholders

• Manage the use of various, and oftentimes simultaneous, virtual meeting services and webinars

• Support The City Fund’s Events Manager by coordinating the preparation of materials for

meetings and events

• Provide general office support: file management, distribution lists, document sharing, personal

letters and gifts

Qualifications and Experience:

• Outstanding customer service instincts

• Proven ability to work in a fast-paced environment while managing multiple work streams

• Exemplary planning and time management skills

• Strong written and verbal communication skills

• Desire to be part of and contribute to a no-drama team culture

• Familiarity with Google applications, Cloud sharing, and Microsoft Office

• Passion for improving public education

The City Fund is a virtual organization and staff members work remotely from their homes. Executive

Assistants should be prepared to travel an estimated 2-3 nights per quarter. The City Fund offers a

competitive compensation and benefits package and is proud of its flexible and supportive policies and
