    Administrative Assistant

    Executive and Contracts Department

    Based in Los Angeles, CA

    Position Overview

    The Administrative Assistant will be responsible for providing administrative support to the Contracts Department & Field Representative Department. This includes answering phones, filing, photocopying, and scheduling meetings, meeting minutes. Supports the mission, values, and goals of the Directors Guild of America (DGA), a labor union.

    Essential duties & responsibilities:

    • Assisting multiple executives in all aspects of maintaining an organized office
    • Working with other executive support staff and their teams
    • Assisting Field Representatives & Contracts Staff with administrative needs
    • Responsible for communicating committee meeting dates, rsvp’s, agenda, online meeting links (if needed) and preparation of materials for various committee meetings
    • Assist with all office duties including schedules, calendar, files, correspondence, travel, expense reports, and document distribution
    • Periodic overtime and evening work required on site
    • Entertainment industry background helpful.
    • Reliable transportation required.

    Minimum Qualifications:

    • Administrative experience, preferably office support in a busy office environment.
    • Outstanding grammar, spelling and punctuation a must.
    • Clear, articulate verbal communication skills with a professional and courteous telephone manner.
    • Knowledge of common business office procedures and terminology.
    • Ability to interact with executive management, membership, and legal staff a must.
    • Ability to be flexible and multi-task.
    • Strict attention to detail with a high level of accuracy required.
    • Microsoft Office proficiency including Outlook, Word, Excel, PowerPoint and online meeting platform proficiency including Zoom.
    • Ability to maintain confidentiality.
