Departmental Overview

(The Center for Labor Research and Education (Labor Center) at the Institute for Research on Labor and Employment (IRLE) conducts research and education on issues related to labor and employment. The Labor Center's curricula and leadership trainings serve to educate a diverse new generation of labor leaders. The Labor Center carries out research on topics such as job quality and workforce development issues, and we work with unions, government, and employers to develop innovative policy perspectives and programs. We also provide an important source of research and information on unions and the changing workforce for students, scholars, policymakers and the public.

Responsibilities

This position will coordinate administrative operations and perform administrative services for the Labor Center. This includes activities in finance, human resources and general administrative responsibilities.

Supervises workstudy students and serves as the lead to other administrative assistants.
Serves as the primary liaison for the Center in facilitating new hire process and induction. Provides guidance to supervisors and managers in developing job descriptions, facilitating benefits communications, and providing guidance on compensation programs, personnel policies, and procedures.

Responsible for purchasing, managing blu card, personal services contracts, travel and entertainment reimbursements. Oversees fulfillment of publication orders.

Manages the development of subcontracts under supervision of PIs and serves as primary liaison for subcontractors to ensure prompt execution and payment.

Communicates and coordinates space and IT needs and related planning with unit/division. Responsible for preparing work space for new hires. Responsible for coordinating with the IRLE on building issues.

Participates in the development and revision of standard operating procedures and guidelines. Assesses and recommends changes to maintain compliance with federal and state requirements and internal policies.

Assists with development and maintenance of CLRE budget, as well as program and conference budgets. Prepares reports or analysis of operational activities, evaluation of current and proposed services, etc.

Provides executive-level administrative support to the Chair and Management Team:
  • Drafts, proofreads, edits, transcribes and prepares correspondence, reports, and other written documents of varying degrees of complexity, sensitivity, and confidentiality for the Chair and Management Team.
  • Communicates information and decisions from the Chair and Management Team to the relevant internal (CLRE, IRLE, university) and external (union, community, political) constituencies.
  • In accordance with the Chair's goals, priorities, and preferences, manages the flow of the Chair's action items, deadlines, and materials for projects, communications, meetings, events and travel and schedule.
  • Receives incoming telephone calls and emails, and responds, screens, forwards, or redirects as required.

    Required Qualifications

  • Demonstrated related experience.
  • Working knowledge of common campus-specific and other computer application programs.
  • Solid communication and interpersonal skills to communicate effectively with all levels of staff, both verbally and in writing.
  • Solid organizational skills and ability to multi-task with demanding timeframes.
  • Ability to use discretion and maintain all confidentiality.
  • Ability to use sound judgment in responding to issues and concerns.
  • Knowledge of financial principles and experience working with budgets.
  • Ability to manage competing deadlines and attention to high level of detail and accuracy is a must.
  • Ability to interact with a diverse population in a dynamic work environment and to establish relationships with staff and external organizations and individuals.
  • Experience with purchasing and human resources.
  • Proficiency with Microsoft Office Suite including Word and Excel, calendaring systems, and google office applications.

    Preferred Qualifications

  • Experience with event planning.
  • Working knowledge of UC administrative policies and procedures.
  • Demonstrated interest in the Labor Center's mission and programs.

    Salary & Benefits

    Hourly Salary Range: $28.74 - $34.49
