Since 1978, the National Grants Management Association (NGMA) has been providing national and international leadership, helping its members achieve success in the grants management community through the advocacy of best practices and the promotion of professional excellence. Currently in a phase of dynamic growth, NGMA serves roughly 3000 members. They are the preeminent association for the industry, providing the tools and resources grants professionals use to support and maintain the highest levels of grants management competency, and to establish standards of excellence for grants managers. Position Overview          

We are actively recruiting for a Senior Director of Operations to join the team to be responsible for the implementation and success of project management, operational, and transactional activities in collaboration with the Executive Director. This position will focus on administering operational and financial processes and managing NGMA’s Annual Conference.


Organizational and Financial Management

  • Assists the Executive Director in overall personnel management including implementation of personnel policies, benefits, compensation and performance review, hiring, recordkeeping, and separation needs.
  • Leads and aligns critical operational strategies and priorities with the NGMA strategic plan, including resource planning, IT investments, financial accountability, and standard policies and procedures to achieve goals/objectives.
  • Works with the Executive Director to improve efficiency and effectiveness of general organizational policies, procedures, and practices. 
  • Serve as the Board of Directors coordinator, updating agendas, setting meetings, maintaining Board software systems, and sharing necessary documentation.
  • Helps develop and monitor budgets, review financials and prepares forecasting reports; ensures timely completion of annual audits and tax filings.
  • Oversees day-to-day financial transitions; manages banking relationships and monitors bank accounts.
  • Manages key vendor and consultant relationships.
  • Oversee and administer the Corporate Partnership program.
  • Supervise the Operations Associate and coach that staff member as they grow in their career.


Annual Grants Training

  • Takes a leadership role in managing the Annual Grants Training (AGT, NGMA’s Annual Conference) including all project management.
  • Supervise the internal staff and external conference management team in their roles related to AGT.
  • Manage all AGT vendors including obtaining bids, project management, and supervising deliverables. 
  • Oversee conference registration with assistance from the Operations Associate.
  • Obtain corporate sponsorships and execute sponsorship benefits.
  • Attend all planning meetings, in-person site visits throughout the year, and staff the event in-person each April.


About you

You may be the ideal candidate if you thrive in fast-paced, entrepreneurial organizations that are quickly growing and where your impact is significant. Where you will report to, and partner with, the Executive Director to lead and carry out the work that meets the business objectives of the organization and forwards its mission! Your background should include:


·      A bachelor’s degree as a minimum level of education.

·      Progressive leadership and operations experience in a trade or membership association including management of a major conference

·      Staff and volunteer leadership experience

·      Supervisory experience

·      Positive attitude, detail oriented, and thrives in a fast-paced environment

·      Financial and business acumen

·      An advanced degree and/or a CAE designation (or interest in obtaining a CAE) will be given preference.
