The Agreement Administrator is a central member of Program Coordination, an administrative team that serves as the primary point of contact with donors on agreement-related issues, in-house resource on compliance with donor regulations and NDI policies, administrator of the Institute's global awards and custodian of award documents. The Agreement Administrator will assist in coordinating NDI's workflow processes, communications, tracking and resource management under its largest global funding mechanism, which is funded through the The Consortium for Elections and Political Process Strengthening (CEPPS).
CEPPS is a co-equal, legal joint venture established in 1995 between the International Foundation for Electoral Systems (IFES), the International Republican Institute (IRI), and the National Democratic Institute (NDI). Currently, CEPPS is the holder of the Global Elections and Political Transitions (GEPT) leader with associates award (LWA) from the US Agency for International Development (USAID) and has held similar awards since its creation. Through the GEPT mechanism, CEPPS works to empower local partners to build resilient government institutions, political parties, and electoral processes in fragile states and developing democracies.ESSENTIAL DUTIES AND RESPONSIBILITIESDonor Relations Assistance
Performs the day-to-day operational tasks, in coordination with CEPPS/NDI senior manager and liaison, for GEPT, including, but not limited to:
EDUCATION AND/OR EXPERIENCE
- Assists in ensuring effective communication on the administration of all associate awards between CEPPS partners and with USAID, as well as internally at NDI.
- Assists in the submission, tracking, coordination and follow up on status of NDI proposals, agreement deliverables, as well as requests for reprogrammings, prior approvals and extensions, including providing program teams with the appropriate templates and documents for preparation of proposal, reporting, compliance communication and documentation.
- Assists in managing the CEPPS quarterly reporting process, including: providing program teams with most up-to-date templates; compiling reports and tracking reporting progress and submissions; and editing reports, as needed, for consistent tone, grammar, and adherence to CEPPS style and policies.
- Maintain the deliverable and other trackers to ensure timely submission to CEPPS and USAID.
- Ensure most up-to-date resources and guidance is maintained on NDI's internal staff portal.
- Develops an understanding of the consortium's procedures and serves as a resource for program staff.
- Contributes to maintaining good working relationships with consortium partner organizations and USAID.

REQUIRED SKILLS AND ABILITIES
- Bachelor's Degree in Business Administration, Grants Management, Non-profit Management or related Liberal Arts subject required
- Four (4) years of related experience preferred
- Additional years of work experience may be substituted for educational requirement
- Knowledge of grants management processes and requirements preferred
- Strong attention to detail
- Advanced proficiency in Microsoft and Google products
- Ability to take initiative and anticipate needs, and willingness to take on new responsibilities
- High degree of professionalism and strong work ethic
- Ability to prioritize work and multi-task in a fast-paced environment with shifting priorities
- Capacity to work both independently and as a member of a team
- Excellent oral and written communication skills
- Good sense of humor
- Ability to practice discretion and maintain the confidentiality of grant and institutional information
- Interpersonal skills and cultural sensitivity to effectively interact with all levels of staff and external contacts
