Baykeeper defends San Francisco Bay from the biggest threats and holds polluters accountable. Using a unique combination of science, policy, and law, we’ve achieved over 250 legal victories to reduce pollution from industrial facilities, stopped sewage spills to the Bay by 75% from 10 cities, passed new state laws to keep oil and coal pollution out of the Bay, and strengthened local laws regulating toxic pollutants like mercury, dioxins, and selenium to protect the Bay’s wildlife and residents.

San Francisco Baykeeper is looking for an enthusiastic event intern to help produce our two annual events, the Baykeeper Dinner and the Bay Parade. The Event Intern will work closely with the Development Associate and other team members on planning and executing both events. The intern will also support other outreach events and department projects as needed.

The ideal person for this position is passionate about environmental protection and looking to develop skills in event production. The Event Intern will gain experience in nonprofit fundraising, marketing, and database management during their time with Baykeeper.

This is an unpaid volunteer internship. Arrangements can be made to meet requirements for class credit.

Time Commitment: January to July 2020. On average, 5 hours a week, and up to 15 hours a week leading up to events. The Event Intern will volunteer in Baykeeper’s Oakland office one to three days per week during regular business hours. A consistent weekly schedule, to be arranged upon starting, is preferred. Exact start and end dates flexible.

 Overview of Responsibilities: 

  • Coordinate the silent auction for the Baykeeper Dinner: prepare item descriptions and display materials, oversee auction at the event, conduct follow-up with item winners, and create internal report on auction results.
  • Research event and recreational websites for publicizing Baykeeper events, and identify key channels for reaching and activating our target audiences. Produce and/or upload publicity content to these external sites.
  • Conduct individual outreach via phone and email to Bay Parade participants to ensure everyone is prepared for the event and understands event requirements.
  • Track fundraising progress and coordinate prizes for fundraisers and sponsors.
  • Enter and update event data in CiviCRM, Baykeeper’s donor database.
  • Attend outreach events to represent Baykeeper and promote the Bay Parade; assist with shoreline cleanups.
  • Prepare registration lists and other event materials.
  • Prepare and manage event supplies and assist with on-site setup/breakdown.
  • Day-of, ensure that all pieces are in place for a successful event, be prepared to troubleshoot any problems that may arise, and provide attendee support to ensure all participants have a top-notch experience.
  • Following the event, assist with appropriate thank-you messages and prompt follow-up for participants, sponsors, and donors; record attendee details; and catalogue event supplies.
  • Assist with database tasks including entering new contacts and gifts and producing thank-you letters.
  • Research local businesses that offer fundraising events or donation programs that can support Baykeeper.

 

Qualifications

  • Passion for San Francisco Baykeeper’s mission;
  • Interest and experience in event production and working with small nonprofits;
  • High level of professionalism in communication, quality of work, and interpersonal interactions, as well as punctuality, positive attitude, and good people skills;
  • Ability to create and manage spreadsheets; experience with contact databases and Mail Merge between Excel and Word a plus;
  • Highly detail oriented, and will take the time to do things right; and
  • Willingness to assist with all parts, large or small, of putting on a successful event.
