Tuesdays for approximately 5 hours and Thursdays for 5 hours . Feb - June 2020.

POSITION TITLE: Youth Program Coordinator and Documentation.

DEPARTMENT: Education Department at City Lore.

SUPERVISOR: Direct Supervisor (Manager- Director of Youth Program, Raquel Almazan). Director of Education, Amanda Dargan and Executive Director, Steve Zeitlin.

General Description: Arts administration position to assist Youth Program manager with coordinating resources, supplies, logistics of the program and documentation.

PROGRAM DATES: Second semester of the Afterschool program currently runs Tuesdays and Thursday from 3:30 to 5:30pm. Position start time runs mid- February to early June 2020. Option for a third semester includes a three-week intensive during the summer.  The coordinator would be available 1.5 hours prior to program start time, and up to one hour post program for clean up. 

Major Duties and Responsibilities:

Maintain online excel contact sheet for students, including the collection of hardcopy contact data such as students cell numbers, emails, parents and other guardians address, phone and emails.

Cross reference the submission of students contracts, release forms, and updated contact information to be cataloged via hard copy and online. 

Ensure that students sign in physically to each session and maintain electronic version of attendance.

Document still and video data for each session of the program.

Timely cataloging by date (still images and video data) online and on hard drive back up- server of each program session.

Maintain education closet supplies used by the program, as well as preparation and management of the clean up of space and supplies alongside youth manager and high school interns during each session.

Stock of snacks and food in office and kitchen.

Prepare gallery space for student sessions and meals, restoring the cleanliness of the space for the office workflow of staff members at City Lore.

Support classroom management dynamics of the group with Youth Manager and teaching artists during teaching sessions.

Communicate professionally, directly, and promptly with program manager as a first point of contact and reference regarding any issues with students, parents, or guest teachers. 

POSITION QUALIFICATIONS

Competencies:

·     Basic comprehension of Excel.

·     Video and still image Documentation skills with current digital cameras.

·     Video editing skills with Premiere Pro a plus but not required.

·     Managing video and still archive via google docs, hard drive and online blog.

·     Ability to create short videos of program sessions a plus but not required.

·     Ability to work patiently with high school youth.
