Teens In Public Service is expanding and we are looking for a Program and Development Assistant to help with the growth of our organization. Teens In Public Service (TIPS) is a 501(c)(3) nonprofit organization dedicated to developing teen leaders by providing paid summer internship opportunities at local not-for-profit causes. With an annual cohort of 60 - 70 teen interns, the TIPS program runs on annual program cycle alongside year-round development initiatives and seasonal events.

This is a great role for someone looking to develop experience in the operations of a nonprofit organization beyond traditional administrative activities.

The Program and Development Assistant will be responsible for supporting the Executive Director and the Program Director in executing vital operations. Primary duties will include fundraising, development and summer internship program support as well as administrative tasks.  

Ideal candidates will be efficient communicators, self-starters, comfortable with technology, and willing to learn our organizational procedures and online platforms. 


Primary Responsibilities

Fundraising and Development Support (40%)

  • Process donations and generate timely donor acknowledgements for all gifts
  • Maintain donor database (Salesforce), continually update records to ensure accurate and up-to-date information. 
  • Support Executive Director to create, update and run a portfolio of regular reports that might include lapsed donors, revenue reports, campaign response rate, and recent gifts
  • Corporate fundraising support: Track correspondence to corporate sponsors and support the creation / dispersal of sponsorship materials
  • Provide donation and guest logistics support for Fall Luncheon (TIPS main fundraising event): Coordinate guest lists through online registration and support day-of event attendee services. Track donors and registrants in Salesforce and produce up to date fundraising reports.
  • Prepare and assemble event materials (Ie: name tags, invoices, printed event materials) leading up to fundraising and stewardship events, as needed.
  • Grant research and support
  • Support the Executive Director in finding grant opportunities and prepare supporting documents for applications. 
  • Scan and upload relevant grants documents to database.
  • Assist with mid year and end of year grant reports. 
  • Fundraising appeals: Mailer assembly for donors

Program Support (40%)

  • Assist Program Director with program materials assembly: Prepare, print, and assemble participant packets, name tags, mailings, and other printed materials dispersed as part of the summer program.
  • Work with the Program Director to develop materials and presentations leading up to summer program events
  • Participate in execution of summer program events as day-of event support: set-up and tear-down of events, attendee check-in, provide feedback on event programs (as needed)
  • Produce segmented reports for the summer program using participant data collected via online surveys, evaluations, and online reporting platforms (ex: SurveyMonkey, QuickBooks)
  • Assist in the execution of intern payroll (ie: mailing paychecks)
  • Work in collaboration with Program Director, volunteers, and nonprofit partners to organize a site visit calendar for TIPS summer internships. Take part in internship site visits in coordination with TIPS staff, as needed.

Administrative Support (20%)

  • General administrative office support 
  • Board of Directors support
  • Compile board handbook
  • Update board member information and supporting materials
  • Take minutes during board meetings
  • Assist with presentations for board meetings
  • Office organization project: Filing and cataloguing historical materials
  • Office supply ordering

Profile

Required skills and experience:

  • Excellent written and verbal communication skills
  • Proactive, self-starter, problem solver, works well in small teams
  • Ability to work independently with minimal supervision
  • Exceptional organizational skills and attention to detail

Preferred skills and experience: 

  • Experience with Salesforce or familiarity with CRM management system
  • Experience with Microsoft 365 Office Suite (including Word, Excel, Powerpoint, and Outlook)
  • Experience working or volunteering with nonprofit organizations, specifically with supporting fundraising and development activities
  • Interest in working with the communities we serve, including high school students, Seattle area nonprofits, and their service communities

Salary Range

This is an hourly position. The pay is $18/hour up to 40 hours a week. This role is subject to overtime rules. Part time applicants will be considered.
