Job Title:                               Visitor Services and Development Associate

Reports to:                            Director of Advancement and Manager of Visitor Services

Full Time / Part Time:           Full Time

Work Schedule:                     40 Hours per week , including one weekend day each week.

GENERAL DESCRIPTION

The Visitor Services and Development Associate will work closely to support the Chief Development Officer, Chief Program Officer, and Manger of Visitor Services by completing numerous vital administrative tasks, as listed below. In addition, this person will help out at special events as requested and will serve as a full member of the Advancement Team. For three days each week, including one weekend day, the Visitor Services and Development Associate will manage the Admission Desk; coordinate with the daily interpreters/guides; and serve as the public face of the Concord Museum. On weekend days the Associate is the senior staff member on site and in charge of opening and closing the Museum and reporting any issues to the Administrator on Duty.

 

ESSENTIAL DUTIES AND RESPONSIBILITES

Membership & Development

·      Assist with printing and mailing membership cards.

·      Assist with printing and mailing membership renewal letters.

·      Entering new homeowner information into Abila.

·      Entering Forum and Program attendees into Abila.

·      Completing the monthly SPS Report.

·      Managing all aspects related to auctions by other organizations (to whom we give free tickets as auction items). This includes writing the confirmation letters and updating the master spreadsheet.

·      Updating the Mailchimp lists used by Development and Programs.

·      Updating Abila for returned mail.

·      Managing bulk mailings for the Development Department:

o  Pulling mailing lists

o  Maintaining the bulk mail permits and making sure there are sufficient funds in the account with the Post Office

o  Ordering stationery and supplies for the Development department.

·      Providing an extra pair of hands for special fundraising events, cultivation events, and exhibition opening receptions.

  • Serve as a full member of the Advancement team, attending weekly staff meetings, and providing assistance to the day-to-day administration of the department’s activities including data entry, mailings, events, and other duties as time allows

·      General help when needed.

 

Visitor Services:

  • Admissions duties – greet guests, offer visitor information, sell tickets and memberships, accurately track attendance and sales, and perform associated duties.
  • Oversee shop sales and refilling of displays.
  • Effectively present information and respond to questions from groups of students, customers, and the general public.
  • Distribute promotional materials, answer questions concerning exhibits, regulations, and facilities.
  • Work under the guidance of the Visitor Services Manager and in consultation with the Director of Finance and Operations.
  • Assist with the supervision of interpretive/ education staff on duty, scheduling, program operations, security, and assigned project areas.
  • Discuss and assign interpreters to galleries and lunch shifts for the day.
  • Oversee staff for the day with the authority to speak to staff if they are not in their assigned locations, late, or otherwise not following rules or directions.
  • Represent the Museum in a professional and welcoming way in business casual attire.

On weekends:

  • Oversee operation of Museum during weekend hours; as the senior staff member on site, report any emergency to Curator, Executive Director, or other senior museum manager.
  • Complete the morning and afternoon checklists to ensure proper opening and closing procedures and museum security.
  • Review areas open to the public to ensure their readiness for the day’s visitors, especially on weekends when special activities and events are happening.
  • Report staff issues or other problems to the Visitor Services Manager.
  • Report alarms, packages, and contractors to the proper contact in the Museum.

ESSENTIAL SKILLS AND QUALIFICATIONS

  • Exceptional customer service skills.

·      Excellent communication skills, oral and written.

  • Six months to one year of related experience or training; preferably in a cultural institution.
  • Preferred Bachelor’s degree (B.A.) with a focus in history, education, or related major.

·      Facility with databases; ability and willingness to learn all aspects of Abila.

·      Willingness and ability to learn how to use Center Edge, APO and other membership and point-of-sale software.

·      Ability to successfully manage multiple projects at one time.

·      Dependability and trustworthiness.

·      Flexibility and willingness to be a team player.

·      Sense of humor.
