 Position Summary

 Fiscal Sponsorship is a critical part of the Fund’s mission, allowing the Fund to strengthen, support and magnify core programmatic initiatives championed by Baltimore City Public Schools and the Fund’s community and philanthropic clients, thereby expanding and extending the impact of the Fund’s overall commitment to serving students across Baltimore City. The Fund currently oversees close to $30M in fiscal sponsorship revenue and expenses annually.

The Program Manager, Fiscal Sponsorship Services works closely with the Senior Program Director to help coordinate the Fund’s Fiscal Sponsorship business line assisting with client, grants and contracts management. The Program Manager serves as an important member of the Fund’s skills-based fiscal sponsorship resources team – working in close collaboration with the finance and human resources teams – helping to ensure that private and public grant dollars are put to work quickly, efficiently, and appropriately to meet clients’ missions and needs, and ultimately benefit Baltimore City youth.

The Program Manager will help ensure the smooth and effective development, maintenance and completion of policies and procedures related to grants and contract management. The Program Manager will support a wide variety of grants, contracts, and budgets across the Fiscal Sponsorship Services business line which combined support tens of millions dollars in grants and expenses annually. The Program Manager must be a detail-oriented, collaborative and self-directed team member with strong time management and client services skills.

 

Salary and Benefits

The salary range for this position is $58,000 to $65,000 annually.

 Essential Tasks:

 Client Services and Budget Management

·        Work closely with Senior Program Director to support the Fund’s diverse portfolio of fiscal sponsor and philanthropic clients

·        Model and ensure superior customer service

·        Support client budgeting needs including organizational and/or program budget development, monitoring budget to actual spending, and working with clients and funders to make adjustments as needed

·        Work closely with Finance Team to ensure coordination of efforts. Ensure grants and contracts compliance with financial policies, procedures and system usage

·        Work closely with Communication and Development teams to maintain integrity of joint contact database.

Grants Management (Revenue contracts)

·        Support establishment of grants management policies and procedures for new grants intake and grants management system

·        Coordinate with Finance Team for onboarding of new philanthropic grants including data entry and/or data translation between finance and grants management systems

·        Responsible for maintaining day-to-day grants management database protocols for grants intake; data inputting; communicating with fiscal sponsor clients; philanthropic communications and acknowledgements; and other procedures for onboarding new funding awards

·        Assist in preparation of grant budgets; tracks key deadlines and deliverables; coordinates grant reports; and helps ensure compliance with grant agreements

·        Help monitor budget-to-actual reports to ensure timely identification of any needs for budget reallocation and no-cost extension requests and communicates with clients and funders accordingly

·        Support philanthropic grants reporting functions including coordination with fiscal sponsor clients, timely clients reminders, reporting reviewing, and grant close-out procedures

·        Responsible for the maintenance of complete grant files

Expense Contracting and Awards Management

·        Support establishment of grants management policies and procedures for expense contracting, subgranting, and awards management in coordination with Fiscal Sponsorship and Finance teams

·        Support expense contracting needs including coordination with fiscal sponsor clients and proposed vendors; review of scopes; issuing contracts; tracking, documenting and entering contract into grants management systems; establishing contract encumbrances; and other related duties

·        Provide direct or indirect contractual, financial and administrative advice to internal and external fiscal sponsorship clients

·        Prepare contract close-out documents, including subcontractor releases and transition plans

·        Responsible for the maintenance of complete contract files

·        Work with Finance as needed to review and process all invoicing, ensuring compliance with contract rates, ceilings, obligated amounts, and encumbrance bookings

 Qualifications

  • Bachelor’s Degree preferred
  • 3-5 years of similar, transferable experience, preferably in nonprofit sector

·        Comfort operating in a dynamic, fast-paced environment

·        Experience working with and balancing multiple client-facing projects and priorities

 Skills/Competencies

·        Mid-Level Excel Skills and demonstrated experience working with databases, financial systems and budgeting platforms. Prior experience with CRM system(s) is preferred but not required

·        Commitment to ensuring racial and educational equity for youth in Baltimore City
