Summary/Objective

The Project Assistant provides administrative needs for the Office of the President primarily supporting internal communications across departments, strategic projects, and organizational goals.  This position reports to Director, Office of the President.


Essential Functions:  

  • Work directly with the Director, Office of the President to support project management for the CEO, Board and other Leaders, (e.g., CEO Reports, Board Reports, Project status updates)
  • Organize and develop content received from leaders on a wide range of strategic projects to help streamline internal communications to the organization and provide status updates (e.g. PowerPoint decks, email communications, etc.)
  • Work with the Marketing & Communications team, Corporate Relations Manager, and Corporate & Strategic Partnerships Director as needed to support the coordination and development of communication pieces needed for the team or organization
  • Monitor and summarize key business metrics from project status reports to support the Office of the President’s for proactive decision-making


Responsibilities

  • Format information for internal and external communication by supporting the development and coordination of presentations, memos, emails, reports; this may include concept development, data visualization and content coordination 
  • Act as the point of contact among executives, employees, clients and other external partners
  • Leverage important forums, dashboards, and reports to draft CEO updates to communicate key organizational accomplishments, metrics or changes while managing ongoing updates
  • Support Project Management Office (PMO) efforts: coordinate and attend meetings, draft agendas, create minutes, identify next steps, update PMO tools, and leverage different software programs to map out processes and timelines
  • Work closely with the Marketing & Communications team to support assignments with social media and other public relations or fundraising communications as needed
  • Support Ad hoc assignments with other members of the Office of the President: the Corporate Relations Manager, Corporate & Strategic Partnerships Director and Executive Assistant as needed
  • Be attentive and observant of all parts of the facility and operations to ensure a safe and secure environment for all staff and guests; report violations or concerns in a timely fashion
  • Serve as a resource for staff, families, guests, volunteers, donors and other community members

 

Qualifications & Competencies

  • Bachelor’s degree preferred with a concentration in a related field (Communications, Journalism, English). High school diploma or equivalent accepted with at least 4 years of directly relevant work experience.
  • Minimum 3 years of experience with professional-level writing and proofreading 
  • Excellent written, verbal and presentation communication skills with a keen attention to details
  • Demonstrated and strong organizational and administrative skills, including managing multiple deadlines 
  • Ability to work independently, make decisions, problem solve, and adhere to priorities with while working in a fast-paced, multi-tasking environment
  • Demonstrated analytical skills able to assess qualitative and quantitative data
  • Adept at using various software programs such as Microsoft Office Suite (Excel, PowerPoint, Word, Outlook) and project management systems
  • Ability to vocalize and contribute ideas, collaborate and participate as a flexible, responsive team member 
  • Experience working in an Executive or Public Relations setting (e.g. Journalism or C-Suite offices) preferred
  • Demonstrated ability to effectively listen, evaluate and react to key members, stakeholders, providers and internal/external clients
  • Ability to exercise discretion with respect to highly confidential/sensitive information
  • Knowledge of additional language(s) a plus
