The Center for Court Innovation is a non-profit organization that works to create a more effective and humane justice system by performing original research and helping launch reforms by guiding justice innovators, nationally and internationally. The Center creates operating projects that have been documented to reduce the use of jail and prison, assist victims of crime, and strengthen communities.

The Center for Court Innovation has operated the Upstate New York office, located in Syracuse, New York, since 2004. The Upstate Office assists in the development of new problem-solving court initiatives, provides technical assistance to existing problem-solving courts throughout Upstate New York, and plans and implements new programs focused on improving the delivery of justice.

The Center for Court Innovation’s Upstate Office is seeking an Administrative Associate. Reporting to the Upstate Office Project Director, the Administrative Associate will assist in the day-to-day operations of the office and provide administrative and logistical support for the office’s diverse functions and projects. The Administrative Associate will work from our downtown Syracuse office.

Responsibilities include but are not limited to:

  • Organize and maintain a filing system to store financial records and other important documents and office records;
  • Assist program staff in developing program materials;
  • Organize and maintain inventory of office supplies and equipment, and order or purchase additional supplies and equipment as needed;
  • Assist in meeting office-related needs, including troubleshooting issues related to computers, telephones, parking, building access, office maintenance, among others;
  • Manage records related to the Syracuse office’s federal, state, and private grants;
  • Assist in drafting, editing, and submitting grant reports;
  • Assist in uploading and maintaining grant-related reports and data in electronic grant management and reporting systems;
  • Assist in creating, updating, and maintaining specialized files to track grant-related activities, data, and reports;
  • Assist in planning meetings, training programs, and other events;
  • Coordinate room reservations, invitations, and refreshments, and prepare meeting materials;
  • Arrange travel accommodations for staff and non-staff event attendees;
  • Prepare vendor payment requisitions for external vendors;
  • Maintain filing system of receipts and invoices;
  • Manage relationships with external vendors;
  • Prepare monthly reconciliation reports;
  • Additional relevant tasks, as necessary.

Qualifications: The ideal candidate will have a bachelor’s degree and 1-2 years of related experience or 3-4 years of equivalent experience. This position requires a detail-oriented self-starter with excellent organizational skills who can get things done efficiently in a fast-paced environment. Extensive knowledge of Microsoft Office is required, as well as familiarity with office technology such as computers, cell phones, fax machines, etc. and social media platforms. Excellent verbal and written skills are a must. The candidate must be able to prioritize tasks and remain flexible in the face of rapidly changing work projects. Knowledge or experience working with the justice system is helpful. Candidate must be able to transport self between office locations in the City of Syracuse (2 Downtown, 1 Westside, 1 Southside).
