The Shalom Hartman Institute is a pluralistic center of research and education, deepening and elevating the quality of Jewish life in Israel and North America. SHI NA has an exciting opportunity for a motivated, thoughtful, organized, efficient, and detail-oriented individual to support the work of SHI NA’s President and Executive Vice President. This position requires someone who has good judgement, is highly organized and service-oriented, strong on follow-through, and can anticipate needs. The ideal candidate for this position will also have the ability to prioritize and complete multiple tasks with efficiency and excellence. The individual must take initiative in identifying problems and devising solutions, and must have strong interpersonal skills to help implement those solutions with good judgment, discretion, and tact.
•Support SHI NA’s President and Executive Vice President with all of their needs in running the organization
•Manage calendars for Executive Team members
o Schedule internal/external meetings including all details (location, time zone, mode of communication);
o Monitor the program calendar in Salesforce and transfer necessary information on to Outlook calendars being mindful of necessary travel time, lodging, etc;
o Register all guests with building security;
o Set up video conference when appropriate.
•Coordinate travel and reimbursements for Executive Team members
o Book all travel with travel agent or using company accounts;
o Obtain approval of travel expenses;
o Create detailed itineraries for all trips;
o Schedule car service when appropriate;
o Book all hotel rooms;
o Confirm offsite meetings and ensure registration with any necessary building security;
o Review and code expenses monthly and submit expense reimbursements.
•Assist with logistics for internal office events run by Executive Team members
o Execute set up and break down of conference rooms for meetings;
o Set up conference or video conference lines;
o Handle catering requests;
o Communicate with vendors for offsite meetings;
o Supporting meetings, including note taking, intuiting next steps, and anticipating needs;
o Assist with preparations for board meetings, staff meetings, and staff retreats.

o Proven ability to thrive in a dynamic, high-energy environment
o Track record of demonstrating sound judgment by making appropriate decisions and knowing when to take initiative, and when to elevate problems
o Exceptionally organized and detail-oriented; able to manage multiple complex tasks
o Capable of working independently as well as collaboratively
o Customer-service oriented demeanor
o Flexible work style with the ability to work under tight deadlines and with shifting priorities
o Proficient in Microsoft Office applications – proven ability using Excel
o Excellent communication skills
o Good sense of humor
o BA / BS or equivalent
