Position Summary

The Grants and Contracts Coordinator works with the Grants and Contracts Manager and program leaders to support the monitoring and financial reporting required for grant and contract agreements with entities that provide funds to MCC. Duties include reviewing comprehension and communicating agreement provisions with both internal and external stakeholders, preparing complex financial information for key, tracking key deadlines and deliverables, and interacting with MCC’s accounting system (Abila MIP) to ensure alignment between contract and MCC financials.

Essential Tasks

  • In collaboration with the Grants and Contracts Manager and Program Managers, create and prepare all budget-related materials and supporting financial documents required for submission to funders and governmental contractors.
  • Read and understand all funder requirements before preparing budgets.
  • Understand all grant and contract provisions to ensure compliance with donor requirements. Track the terms and conditions of grants and contracts and monitoring grant periods and spending trends.
  • Prepare grant contract allocations to programs in MIP accounting system. 
  •  Create and analyze financial reports to ensure accuracy of MIP accounting system to compliance requirements.
  • Update and maintain grant reports and schedules to include budget to actual reports for dissemination to program managers and funders.
  • Maintain reporting schedule and prepare funder financial reports, monthly, quarterly and annually.
  • Maintain access to federal, state and funder data collection systems.
  • Maintain required documentation for funders and auditors.
  • Responsible for parts of the Accounts Payable process as directed by the Grants and Contracts Manager.        

Other Tasks

  • Attends relevant staff meetings to promote communication and execution of goals.
  • Completes special projects specific to the function of the department or as directed by the Grants and Contracts Manager.
  • Other duties as assigned within the scope of position expectations.

F.     Possesses advanced skills in Excel. Willingness and ability to learn quickly and become advanced in database programs such as Airtable and accounting systems like MIP. Strong versatility with Microsoft Office Suite.

G.    Ability to use strong mathematical aptitude and critical thinking skills to identify the strengths and weaknesses of alternative solutions, conclusions or approaches to problems.  

H.    Ability to organize tasks efficiently, meet deadlines and follow up on requests in a timely manner.

I.       Ability to effectively communicate in writing and verbally with colleagues and various stakeholders.

J.      Possesses strong interpersonal skills as demonstrated by compassionate, courteous, cordial, cooperative, and professional interaction with diverse groups of co-workers, external partners, clients, and members of the community.

Experience, Education, and Licensure

Required:

  • Bachelor's Degree from an accredited college/university
  • One year of professional experience developing, preparing and monitoring grant and contract budgets

Strongly Preferred

  • Bachelor's Degree in Finance, Accounting or Business Management
  • Three years of experience in finance and with grants and contracts at a non-profit organization
