PURPOSE: The purpose of this position is to provide administrative duties to support Ventures’ operations, this includes human resources, IT and internal staff coordination. The Administrative and Technology Coordinator will work closely with the Associate Director to ensure high functioning and efficient internal operations to support staff in furthering the Ventures mission to empower individuals with limited resources and unlimited potential to improve their lives through small business ownership. 


RESPONSIBILITIES:

Administrative Support (50%)

·        Team Meeting Support: provide logistical support for internal team meetings and events (remote through 2021), including room reservations, room set-up, note-taking, calendar maintenance, and communication follow-up. Prepare copies, labels, nametags, packets, folders, and other materials as needed.

  • Executive administration: administrative support for Executive Director and Associate Director including calendar scheduling, expense reporting, digital filing and record keeping.

·        Coordinate Ventures fun committee to promote staff engagement through events and recognition including annual gift selection, procurement and distribution.

  • Human resources support: work closely with Associate Director to update and maintain HR documents and policies, staff contact information, update and communicate HR calendar. Compile content for monthly internal HR newsletter and Board newsletter, birthday/anniversary tracking and celebrations. Maintain and update staff professional development resources and required trainings.
  • Board of Directors administration: maintain and update Ventures Board materials, internal website, contact list and resources.

·        Other administrative projects as needed.


Technology Liaison (30%)

·        Serve as primary staff liaison with contracted IT support company.

o  Monitor and communicate technology support needs of the organization

o  Maintain office technology inventory

o  Ensure new hires have all technology systems set up by IT contractor

·        Maintain internal email distribution lists and communicate internal communications best practices.

·        Update IT training documents and ensure IT handbook is up to date.


Office Coordination (20%)

·        Ensure that the Ventures office is welcoming and professional, work with staff team to coordinate organization of the office, plant upkeep and organization of storage area.

·        Service as liaison to office building management. Communicate building policies and procedures to staff. Attend building management meetings.

·        Internal communications with staff regarding Ventures office procedures as Ventures transitions to a hybrid work model in 2022.

·        Order office supplies and maintain office equipment and supply inventory including keys and keycards

·        Serve as back-up Ventures Reception and Front desk when Client Outreach and Engagement Coordinator is out of the office


Other duties may be assigned as needed.


STAFF-WIDE EXPECTATIONS

All staff are expected to engage in activities that contribute to the general wellbeing of the organization. Unless specifically stated otherwise, staff should expect to:

·        Participate in staff meetings, workgroups and committees, etc.,

·        Attend and participate in client and volunteer events when practical;

·        Support fund development through activities such as attending and bringing guests to events, bringing content expertise to grant writing or donor solicitations, adhering to brand guidelines etc.;

QUALIFICATIONS:

Required:

·        Excellent organizational skills, with high degree of attention to detail

  • Strong computer & technology skills, including MS Office Suite
  • Demonstrates the ability to manage time effectively and meet deadlines

·        Strong interpersonal and relationship-building skills

·        High level of professionalism in dealing with confidential and sensitive issues.

·        Ability to complete projects unassisted.


Preferred:

·        Demonstrated success in similar positions

·        Exposure or experience in the nonprofit sector

·        Proven ability to work efficiently in a fast-paced environment, troubleshoot and follow projects through to completion


DETAILS:

·        Department: Operations

·        Tax Class / FSLA Status: 40 hours per week, full benefits, non-exempt

·        Supervisor: Associate Director, Laura Fletcher

·        Supervisory Responsibilities: None

·        Location: 2100 24th Ave. S. Suite 380 Seattle, WA 98144, due to COVID-19 all Ventures staff are encouraged to work primarily remote through December 31, 2021, this position will be required to come into the office for IT and office tasks at least once a week.

·        An employment offer will be contingent upon completion of a background check.


PHYSICAL DEMANDS/WORKING CONDITIONS

The employee must be able to operate a computer and other office equipment, speak and listen on the telephone, and accurately see and interpret columns of numbers.

Salary

USD 41,600 - USD 47,840• Starting Salary/Rate: $20-$23 per hour, 40 hours per week
