Description

General Job Function: The Program and Events Coordinator supports a growing body of revenue-earning activities at Chicago Children’s Museum. These activities fall into the categories of Events and Programming, Exhibits and Design, and Retail and Vending. The Coordinator supports the AVP of Museum Planning in all activities required to maintain existing revenue-earning activities, as well as research, development and implementation of new opportunities. The Coordinator is an energetic, process-minded problem-solver who has the flexibility to manage multiple projects simultaneously and is invigorated by a challenge.

PRINCIPAL JOB DUTIES AND RESPONSIBILITIES

Manage Event Operations for Internal and External Events (40%)

Events and Programming

  • Respond to inquiries from individuals and organizations interested in renting museum facilities for private events.
  • Prepare proposals for potential clients.
  • Manage invoicing and billing; maintain budget-tracking documents.
  • Serve as museum point person before and during rental events, coordinating activities and needs of client, caterer and other vendors.
  • Provide excellent customer service to all outside event clients and their vendors.
  • Support internal events as needed, providing planning and logistics support leading up to and on day of museum special programs and events.
  • Participate in the development of marketing materials and activities.
  • Participate in the research and development of new programs.

Support Strategic Initiatives and Business Development Opportunities (40%)

Exhibits and Design

  • Respond to inquiries from other institutions (museums, libraries, etc.) that are interested in licensing CCM exhibits or hiring the museum for custom projects.
  • Prepare proposals for potential clients.
  • Manage invoicing and billing; maintain budget-tracking documents.
  • Participate in the development of marketing materials and activities
  • Participate in the research and development of new opportunities

Retail and Vending


  • Maintain museum vending options, including button machine, food vending, and photo booth.
  • Communicate with vending concessions and partners as needed to restock supplies.
  • Work with the Event Network team to provide an excellent visitor experience in the museum’s gift shop and ensure that the gift shop supports the museum’s mission and priorities.

Facilitation (20%)

  • Welcome event groups to the museum, orient them to museum as needed.
  • Provide program facilitation of select programs offered to outside groups, such as Let’s Play (an introduction to Play and Learning at CCM) or creative team-building activities.

POSITION QUALIFICATIONS


  • 3-5 years experience
  • Excellent PC skills: Excel, Word, PowerPoint and Outlook
  • Ability to multi-task and respond to a rapidly changing environment, including interruptions and adjustments to priorities
  • Good sense of prioritization; flexibility - able to "switch gears" with little notice
  • Demonstration of sharp attention to detail
  • Willingness to do what it takes to get a job done
  • Strong, energetic, comfortable communicator, capable of engaging with individuals or large groups
  • Professional demeanor on phone and in person with all contacts and co-workers
  • Determination, commitment and ownership of work
  • Strong organizational skills; ability to coordinate and prioritize multiple projects

Education: Bachelor’s degree or equivalent in experience

Hours: Part-time position, 25-27 hours per week. Weekday schedule is flexible; Friday and Saturday availability is required.
