    As a senior administrative assistant, your job is to support the efficient & smooth day-to-day operation of our office. 

    Essential Job Duties for Senior Administrative Assistant:

    • Providing support to our supervisors and employees, assisting in daily office needs & managing our company’s general administrative activities.
    • Answering & directing phone calls.
    • Managing all phone calls & emails pertaining to our enrolled participants. 
    • Preparing memos, emails, and reports.
    • Developing & maintaining a filing system. 
    • Organize & monitor incoming Applications of Interest. 
    • Order office supplies and create Purchase Orders, research new deals & suppliers, provide general support to the Billing/Finance Team.
    • Organizing meetings and scheduling appointments using Google Suite.
    • Scheduling new enrollment assessments.
    • Attendance tracking – including transportation & phone call follow-up. 
    • Conducting or assisting with new employee orientation.
    • Coordinate training sessions & seminars.
    • Serves as administrative contact and liaison with all families & external contacts. 
    • Provide support to the HR Team – assisting with recruiting & onboarding, collaborating with staff to understand the skills and competencies required for job openings. 
    • Assist with special event activities or employee events as requested by the Development Team or Executive Assistant. 
    • Entering data into HR information systems, auditing data for accuracy and compliance.
    • Providing support for internal & external inquiries or requests. 
    • Effectively communicate and support the organization's mission, vision and values.

    Education/Experience Requirements for Senior Administrative Assistant: 

    • Bachelor’s Degree - required
    • Two years of experience in an administrative capacity - required

    Requirements for Senior Administrative Assistant: 

    • Proficiency in MS Office (MS Word, MS Excel & MS PowerPoint)
    • Proficiency in Google Suite (Google Docs, Google Sheets & Google Forms)
    • Excellent time management skills and the ability to prioritize work
    • Attention to detail and problem-solving skills
    • Excellent oral, written & verbal communication skills
    • Strong organizational skills with the ability to multitask.
    • Typing skills with accuracy and efficiency.
    • Knowledge of office management systems and procedures.
    • Working knowledge of office equipment - ex: printer, fax machine.
