Position Summary:  Under the general supervision of the Site Manager (Nurse Practitioner/Medical Provider) and the School-Based Health Center Manager, and in accordance with established policies and procedures, the Medical Office Assistant (MOA) assists the practitioners in rendering patient care during clinic visits by performing routine technical and clerical tasks. The MOA is responsible for providing excellent customer service, ensure accurate registration of patients, answering telephones, scheduling and confirming patients' appointments for all providers, signing patients up for the portal and encouraging patients to complete patient satisfaction surveys and other surveys as needed, as well as providing first aid care. This is a technical position with no supervisory responsibilities.

Responsibilities:

Administrative Assistant

  • Greets patients, observes their condition and routes them to the provider.
  • Ensures that all patients, visitors and guests, as well as co-workers, receive personalized prompt attention and that they are treated with dignity and respect, and with the utmost confidentiality.
  • Maintains electronic health records, including all demographic information on the patient, registration forms, patient referral communications, address changes, and handles medical referrals and referral communications as well as tracking.
  • Assists with implementation of electronic programs necessary for patient registration and flow, assists patients in signing up for patient portal and encourages them to complete patient surveys and forms, such as Patient Satisfaction Survey, Rapid Assessment for Adolescent Preventive Services (RAAPS), etc.
  • Organizes and maintains patient forms, including consent forms, 504 forms, etc.
  • Responsible for verifying address, phone number and emergency contact information at every visit.
  • Identifies and updates health insurance status on patients' records, and refers uninsured patients to   facilitated enroller.
  • Supports with insurance related pre-authorizations requests and change of PCP requests from patients.
  • Responsible for scheduling and confirming appointments and addressing all missed appointments as per CAS protocols
  • Responsible for tracking show vs. no show visits; and working with health staff on recalling patients in need of medical, dental and/or mental health interventions.
  • Completes all appropriate sections of electronic medical record and follows up for missing information
  • Responsible for ordering and restocking office and medical supplies.
  • Maintains an inventory of medical and office supplies and forms and completes purchase orders after obtaining Site Manager/Supervisor's approval.
  • Responsible for timely submission of pCard (CAS purchasing card) reconciliation documents.
  • Participates in SBHC outreach school activities ex. Open House, Parent Teacher conferences, etc.
  • Responsible for monitoring the patient flow system, making sure that walk-in patients and appointment patients are processed in a timely manner; informs the Site Manager of any systems breakdowns.
  • Responsible for ordering and restocking office supplies.
  • Maintains an inventory of paper supplies and forms and submits purchase orders to Site Manager/Supervisor for approval.
  • Responsible for keeping the Site Manager/Supervisor or his/her designee updated on current issues and/or problems related to his/her job responsibilities.
  • Assists with other clinic's clerical duties as assigned by Site Manager/Supervisor.

Medical Assistant

  • Assists the site manager/NP in maintaining periodic logs for labs, environmental survey, emergency bag, etc.
  • Responsible for monitoring the patient flow system, making sure that walk-in patients and appointment patients are processed in a timely manner; informs the Site Manager of any systems breakdowns.
  • Brings acutely ill patients to the practitioner's attention immediately.
  • Under the supervision of the NP/Medical Provider, assesses patients' vital signs according to specified patients' visit type or as per the provider's request; performs basic screening test/procedures, for example: checking patients' height, weight; performs vision and hearing screening, venipuncture, urine dip stick, throat culture, and pregnancy tests.
  • Responsible for working closely with medical staff to identify, schedule and draw ordered labs for all  patients.
  • Responsible for retrieving lab results of all tests ordered, ensuring that results are reviewed by all relevant practitioners, filing results and scheduling patients for required medical and/or mental health follow up visits.
  • Performs or assists with irrigations, dressings, first aid and other appropriate procedures.
  • Assists practitioner in examining patients by preparing patients, assisting with bandages and instruments and with the handling of specimens and cultures.
  • Maintains examination room making sure it is clean and equipped with all the necessary supplies.
  • Is competent to assist and interact with patients based upon the age groups treated.
  • Acts as a patient advocate.
  • Acts as interpreter when necessary.
  • Training on and compliance with OSHA regulations regarding infection control and regulated waste.
  • Must abide by privacy laws including HIPAA, etc.
  • Performs other related duties, as required.

Qualifications: 

  • High School Diploma or Equivalency Certificate (GED).
  • Graduate of a State or nationally accredited Medical Assistant Program.
  • Medical Assistant Certification preferred.
  • Minimum of 2 years of experience working in a Pediatric Medical Practice.
  • Bilingual (Spanish/English) a must.
  • Works effectively and enthusiastically with children, adolescents, families, professionals and persons from a wide range of cultural, social and economic backgrounds.
