Program Manager, Tobacco Control and Prevention

The American Academy of Pediatrics (AAP), the nation’s leading advocacy organization for children’s healthcare, seeks a collaborative individual to manage the youth tobacco cessation project funded by the Centers for Disease Control and Prevention (CDC), including the planning, implementation, and monitoring of project activities. This position will manage the creation of resources to assist pediatric health clinicians in screening youth for tobacco use and providing appropriate treatment to support cessation. This role will be instrumental in the content design and development of a digital application (app) to train and support pediatric clinicians in addressing youth tobacco cessation. This newly created position will work onsite at our Itasca, IL location within the team of Pediatric Population Health.


Some tasks include:

1. Provide primary staff support for the Youth Cessation project, working closely with and managing the activities of the project advisory committee (PAC). 

2. Plan and execute meetings of the PAC and American Academy of Pediatrics (AAP) staff. Prepare meeting agendas, minutes, and reports. 

3. Manage the design, development, implementation, dissemination, and evaluation of resources to assist pediatric health clinicians in screening youth for tobacco use and providing appropriate treatment to support cessation. 

4. Manage the content design and development of a digital application (app) to train and support pediatric clinicians in addressing youth tobacco cessation.

5. Identify and serve as primary point-of-contact with an external consultant to manage the technical development and beta-testing of the app. 

6. Work with the PAC, subject matter experts, national public health partners, external consultants, and end-users to ensure the app and related resources meet the needs of pediatric clinicians.

7. Manage the process of applying for and securing continuing medical education, maintenance of certification, or other relevant credits for participants utilizing the Youth Cessation app and resources. 

8. Develop and manage a dissemination and implementation plan to ensure the Youth Cessation app and resources reach a wide audience of pediatricians, other clinicians, and trainees.

9. Develop and implement an evaluation plan to track the dissemination, implementation, and success of the Youth Cessation app and resources.  

10. Monitor progress on all grant deliverables and provide regular reports to supervisor, internal stakeholders, and funder as required. 

11. Monitor project operating budget, including providing monthly financial reports to supervisor. Make recommendations on needed budgetary and/or programmatic adjustments to supervisor and the PAC. 

12. Prepare and oversee implementation of project consulting agreements, contracts, and invoices. 

13. Serve as primary project contact person with grant agency, preparing and submitting all required program reports and attending project meetings as required. 

14. Respond to inquiries and correspondence from program collaborators, AAP staff, AAP members and other physicians, allied health professionals, governmental agencies, higher education institutions, and other organizations regarding program activities. 


Qualifications needed:

1. Bachelor’s degree in public health, health administration, public administration, health policy, education, or related field required, or an equivalent combination of relevant education and work experience. 

2. Two to three years’ related experience in program coordination/management required, including budget management, developing educational materials/resources, and fostering partnerships with key stakeholders, preferably in a medical association, state public health agency, or national advocacy organization. Experience in health education, healthcare quality improvement, online education, program evaluation, tobacco control initiatives highly desirable. Experience in grants writing/management and working with digital applications (apps) preferred. 

3. Excellent organizational, interpersonal, diplomacy, and verbal/written communication skills required. Strong technical acumen essential with proficiency in MS Office and the ability to learn and apply new technologies; experience with web maintenance/document collaboration platforms (eg, SharePoint), virtual meeting platforms (eg, WebEx,Teams), and digital applications (apps) preferred. Must be able to manage multiple projects simultaneously, work both independently and as part of a team, take initiative, collaborate effectively with various internal and external constituents, and promote and maintain a positive and cooperative team-oriented work environment with a commitment to equity, diversity, and inclusion. Some travel and evening/weekend work required, along with the need for flexibility in arranging work schedule to accommodate physicians’ availability.
