Description

AIA Seattle is one of the largest architectural associations in the US, with an inspiring community of members who are passionate and engaged in our changing city. AIA Seattle is seeking a Program and Project Coordinator to support our continuing education programs for our architect and allied members and to manage membership records.


The ideal candidate will be collaborative, detail oriented, and able to juggle multiple projects and priorities.


Goals of Position

  • Promote attraction and retention of membership in all categories – architects, emerging professionals, allied members and member firms – through excellent customer service and data management
  • Support the Program Manager in producing well executed educational and networking programs
  • Maintain and manage membership and sponsorship records


Essential Responsibilities


Provide logistical support for educational programs and design awards

  • Book venues and catering
  • Manage speaker contracts, travel arrangements and presentation files
  • Coordinate and schedule speaker prep conference calls
  • Oversee day-of event production and registration and manage event volunteers
  • Manage Continuing Education submission process, event registration, and post-event Certificates of Completion
  • Seek opportunities for our allied members and sponsors to get involved with continuing education
  • Extend continuing education resources beyond day-of programming
  • Serve as AIA’s Office 365 Administrator


Produce networking and career development programs for members

  • Plan, budget, and execute career development programs for emerging professionals
  • Assist member committees to plan and execute short continuing education programs and events
  • Develop distance continuing education for remote members via online or podcasts


Project manage membership and sponsorship data

  • Work with AIA to process and follow up on new, renewing, reinstating, transferring and upgrading members
  • Manage job board, Find an Architect, mailing list rentals and other website/membership inquiries
  • Maintain AIA Seattle and Design in Public sponsorship records
  • Collaborate with Controller to send annual membership invoices and process payments
  • Oversee sponsorship and membership progress and trends

Job Qualifications

  • Bachelor’s degree in related field
  • Event management experience
