The PEN/Faulkner Foundation is a nonprofit organization based in Washington, DC that fosters connections among readers and writers to enrich and inspire both individuals and communities. Writers in Schools (WinS), PEN/Faulkner’s signature education program, connects authors with students in the DC area through classroom conversations and book donations, writing workshops, summer writing instruction, and multi-school book clubs. 


The Nuestras Voces Associate plays an important role in helping PEN/Faulkner run high-quality, impactful educational programming centered around conversation and civil discourse in a variety of educational settings, including DC public and charter schools, area private schools, and correctional facilities. This role is primarily administrative, requiring calendar coordination, database input, invoicing, submitting payments, and coordinating purchase orders. The incumbent will also be required to travel to and from programming sites by foot, Metro (train/bus), and occasional car shares. The role is an excellent opportunity for someone new to the arts administration field to work closely within a small, dedicated team in a nationally renowned nonprofit with a storied history. This position requires written and verbal Spanish language proficiency.


Responsibilities:

  • Coordinate scheduling and booking logistics for 200+ education program sessions each year, including Nuestras Voces programming, author visits, and our multi-school book clubs.
  • Accompany authors on school visits and manage all aspects of those visits. Support summer programming efforts. 
  • Coordinate book purchases and distribution of books to schools for all visits. 
  • Submit invoices for author and vendor payments and track payments in our education database.
  • Maintain accurate and up-to-date database information, including educator, school, and author contact information, programming information, and evaluation data. 
  • Support department evaluation strategy and data collection. 
  • Cultivate and maintain partnerships with educators, schools, literary organizations, host-site venues, and publicists, including bilingual organizations and individuals. 
  • Support recruitment and outreach efforts to potential new authors and books for program participation, with particular attention to Latinx and Hispanic writers, writers of color, and others marginalized by traditional publishing, both within and outside of the DC/Maryland/Virginia area. 
  • Provide written and verbal translation support to the organization, both English-to-Spanish and Spanish-to-English. 
  • Collaborate on development and fundraising collateral relating to Nuestras Voces and WinS, including support with grant proposals and reporting, as needed.
  • Support Director with intern management by delegating tasks, opening the office, and being available to answer questions, as needed. 
  • Provide support for PEN/Faulkner literary and awards events as needed.
  • Other duties as assigned. 


Required Qualifications:

  • Must be fluent in written and conversational Spanish and English. 
  • Superior time management skills. Proven ability to organize and prioritize daily and long-term projects and tasks, including the management of information gathered from multiple constituents simultaneously. 
  • Proven attention to detail.
  • Database management experience.
  • Demonstrated problem solving skills and ability to think on one’s feet. 
  • Demonstrated adaptability and flexibility in a fast-paced work environment. 
  • Excellent written and verbal communication skills, both internal and external. 
  • Experience building positive and successful relationships with various constituents.
  • Demonstrated ability to engage in teamwork and collaboration and also work independently. 
  • Proven ability to learn from (and own) failures/setbacks.
  • Proficiency in Mac usage, MS Office Suite, and GSuites. 


Desired Qualifications:

  • Experience working with bilingual K-12 students attending under-resourced schools is strongly preferred. 
  • Experience teaching students, ideally in a classroom setting, including an understanding of classroom management techniques, lesson planning, and developmental milestones, is preferred. 


Start Date: 

Preferred start date is June 1, 2020, or as early as possible.

Benefits

This position is a full-time position exempt from overtime pay. Salary is in the upper-30s and includes 10 vacation days, 7 sick days, select paid federal holidays, health insurance, retirement account, and flextime.
