Essential Functions and Responsibilities:

 

Program Management & Development

  • Assist the Executive Director with chapter mailings, Board communication, donor stewardship, meeting minutes, and staff activities
  • Assist in executing fundraising techniques to meet revenue targets through special events.
  • Assist in developing, implementing and managing a $360K special event (Distinction Awards) and a $50K golf tournament.
  • Maintain accurate and complete records and files for fundraising campaigns.
  • Manage logistics to provide an inspirational day-of event experience for all constituents.
  • Assist in recruiting volunteer leaders and committee members to assist in implementing special events including high-impact committee members and honorees capable of growing fundraising revenues and event participation.
  • Build Agendas and help lead all revenue Committee meetings with action items and deliverables.
  • Build meaningful volunteer relationships by utilizing volunteer skills and resources and recognizing volunteers for their time and efforts.
  • Assist in Identifying revenue partners who will maximize impact on special events.
  • Attention to details with a special emphasis on preparing and managing budget (income and expenses) and work plan (with timeline and deliverables) for the successful completion of the chapter’s special events.
  • Assist in preparing and Implementing and managing a year-long detailed timeline for each event that includes secondary events.
  • Maintain accurate and complete records and files for fundraising campaigns.
  • Manage all invoices and input and track in the invoicing system so that the expenses are reflected in the budget
  • Coordinate the production of all collateral materials related to the special events, programs and activities.
  • Coordinate public relations and promotion for fundraising events, programs and activities

Data Entry & Finance

  • Maintain up to date and accurate records via our internal database
  • Receive, process, accurately acknowledge chapter donations as well as keeping impeccable financial records and preparing monthly statements

Communications

  • Using internal tools and following best practices, assist in creating e-newsletters and email communications for Foundation constituents
  • With Chapter staff and internal support, manage the chapter’s social media pages, website and create engaging content for followers
  • Assist with the preparation of collateral materials related to fundraising programs and mission activities

 

Office Management

  • Assure the proper use, management, security and upkeep of Crohn's and Colitis Foundation facilities, equipment and documents by managing the office facilities and coordinate with vendors for daily operations and timely payment of invoices;
  • Monitor and answer all Chapter inquiries via phone and email;
  • Greet visitors, handle deliveries and be the front face of the local office
  • Actively seek opportunities to address community needs and positively impact local region while advancing Crohn's and Colitis Foundation's mission

Core Competencies & Required Qualifications:

  • A minimum of one year of administrative and event experience required
  • College graduate or equivalent experience required
  • Demonstrated ability to produce revenue-based results; experience in fundraising preferred
  • Flexibility and the ability to adapt to changing priorities
  • Strong decision-making capabilities
  • The ability to empower and coach staff and volunteers
  • Analytical thinker capable of generating data reports and utilizing data to inform decisions
  • Self-motivated, results-oriented leader with strong organizational skills
  • Desire to work in a team environment, collaborate and support across all chapter and Foundation initiatives
  • Demonstrated track record of success managing multiple projects, providing excellence in customer service, building community through marketing, outreach, or communications, and working with donors/volunteers
  • Strong attention to detail
  • Experience working with budgets and finance a plus
  • An effective communicator, both written and oral
  • Flexible to work evenings and weekends as needed
  • Proficiency in MS Office, and Luminate Online/Convio a plus. Excellent Excel skills required
  • Aptitude for strategic planning, budgeting and time management
  • Self-motivated, strong analytical skills, ability to mediate, negotiate and resolve conflicts independently
  • Excellent organizational and time management skills
  • Ability to multi-task and prioritize workload in a fast-paced environment
  • Experience working with boards and community councils preferred
