Executive Assistant to Chief Development Officer and Chief Financial Officer

Reporting to the Chief Development Officer (CDO) and Chief Financial Officer (CFO), the Executive Assistant is charged with managing the day-to-day operations of the CDO and CFO. In this high-profile role, the successful candidate must be comfortable handling urgent requests directly from the CEO and other senior leaders as necessary.

Essential Duties and Responsibilities

  • Manage CDO and CFO calendars; optimize team calendars and establish standard processes for how teams leverage them
  • Responsible for processing invoices from different vendors, reimbursements and other general expense submissions
  • Manage on-boarding process for new hires
  • Coordinate time-off and timecard reporting to HR
  • Create meeting agendas and prepare presentation of materials for internal meetings
  • Maintain and order team supplies 
  • Maintain contact lists for Boards, Fund Managers, and leadership groups
  • Assist with email, phone messages and responses
  • Enter donor data and contact reports for CDO into Raiser’s Edge
  • Track and support creation of board-facing deliverables, including quarterly board minutes
  • Lead modernization of Finance records-keeping and document management process with support of Finance leadership
  • Build and maintain effective internal and external working relationships as an extension of the CDO and CFO
  • Draft emails and other forms of communication on behalf of the CDO and CFO
  • Manage electronic and paper filing systems and maintains accurate records
  • Execute and support various special projects and perform other duties as assigned and/or needed
  • Become familiar and remain knowledgeable about HCZ programs and operations

Qualification, Skill and Knowledge Requirements

  • Bachelor’s degree preferred
  • Minimum of two years of experience in non-profit or corporate setting
  • Demonstrated commitment to accountability, measuring outcomes and a results-oriented culture
  • Excellent project management skills
  • Strong interpersonal skills
  • Ability to handle and prioritize multiple tasks while maintaining attention to detail
  • Proficiency in Microsoft Office and Raiser’s Edge, or similar database
  • Familiarity with databases and systems
  • Ability to work with diverse groups of people
  • Sound judgment, professionalism, a positive attitude and a sense of humor
  • Resourcefulness, creativity and strong problem-solving skills
  • Understanding of the challenges facing underserved communities of color
