The Executive and Board Relations Assistant will be an industrious, collaborative, results-oriented person who excels at building relationships and managing multiple communications, processes, and projects to advance equitable access to excellence and belonging through music education for young people in Chicagoland.

The Executive and Board Relations Assistant provides administrative support for Merit's President & Executive Director and senior staff leadership and serves as Secretary for Merit's Board of Trustees and Committees. This position also provides administrative and logistical support for cross-organizational projects, processes, and communication and provides general office management for Merit. The Executive and Board Relations Assistant plays a vital role in Board member engagement and the effective functioning of the Board and Department Head team. This position requires some weekend and evening hours for select events throughout the academic year.

Organizational Overview

Merit School of Music is a community music school located in Chicago's West Loop. Our primary goals are to help young people transform their lives and experience personal growth through music by providing access to sustained participation. For more than 40 years, we have been home to a diverse community of talented young musicians and have acted as a springboard for achieving full musical and personal potential. Our 125 passionate and experienced teaching artists provide access to high-quality music education, engaging over 3,000 students annually at our downtown location and in area schools and community centers.

Reporting Relationship

The Executive and Board Relations Assistant reports to the President and Executive Director.

Job Responsibilities

Responsibilities of the Executive and Board Relations Assistant include, but are not limited to:

• Administrative support for the President and Executive Director and the Department Head Team (40%)

o Manages files, expense reports, and travel on behalf of President & Executive Director

o Coordinates Executive Director and Department Head Team schedules to maximize workflow and focus on strategic priorities.

o Prepares agenda & materials and participates in senior leadership team meetings

• Provides support to other members of the Department Head Team as needed. Administrative support for Board of Trustees and Committees (30%)

o Coordinates all activities related to the Board of Trustees, including scheduling, materials, minutes, and logistics for Board & Committee meetings, held in person or virtually.

• Administrative support for cross-organizational projects and processes and general office management support (30%)

o Schedules and prepares agenda & materials for Staff Meetings and other meetings as needed. Coordinates in-person hospitality arrangements as required

o Serves as Project Manager for cross-organizational projects as needed.

o Manages general office processes such as mail sorting, cash/check deposits, and office supply ordering.

Knowledge, Skills, and Abilities

The ideal candidate will possess the following qualities:

• At least two years' administrative experience is required. Arts backgrounds are especially welcome

• Prior executive assistant or board relations experience preferred

• Prior experience organizing meetings or events management preferred

• Experience with Office 365 and Zoom; ability to troubleshoot basic technical issues

• Proven ability to work collaboratively and build lasting, positive relationships with senior leadership, board members, staff, faculty, and partners

• Belief in the importance of inclusion, diversity, equity, and antiracism in music education

• Ability to manage a high volume of work efficiently: Has, or can create, a system for managing multiple high-priority tasks. Able to juggle competing demands and prioritize without sacrificing quality. Plans backwards to make deadlines. Asks for help when needed

• Attention to detail: Notices and fixes errors that others might overlook. Acknowledges mistakes and turns them into learning opportunities. Has a track record of leaving things better than they found them

• Strong sense of ownership and resilience: plans ahead and finds alternative paths, when needed, to get to the finish line. Bounces back from setbacks and rejections. Holds a high bar even when things are hectic

• Attentive, empathetic leadership: Enthusiasm for meeting and engaging with people. Empathizes with the communities we serve. Able to put people at ease, especially when there are lines of difference. Listens closely to understand needs or concerns and takes steps based on that input. Gets back to people in a timely manner. Takes pride in providing clear, helpful information

• Trustworthiness and realness: Comes across as genuine. Says what they mean. Builds authentic relationships across lines of difference, such as race, ethnicity, sexual orientation, class, ability, gender identity, citizenship status, or other identities. Follows through on commitments

Educational Requirements

Bachelor's Degree required, with a degree in music or other arts discipline preferred.

Schedule

The Executive and Board Relations Assistant is a full-time, overtime-exempt position, working 37.5 hours per week. The role will require availability for some weekend and evening hours to support select events throughout the academic year. We believe in work-life balance and are committed to keeping the workload aligned with hours worked. At this time, this role offers a balance of in-person and remote work, to be regularly agreed upon and coordinated with the President and Executive Director and their schedule. The in-person/remote mix is subject to fluctuation as COVID (and other) circumstances require.

COVID-19 Precautions

Merit School of Music requires all employees to provide proof of vaccination and booster shot against COVID-19. Please plan accordingly. Face masks are required to enter the school until May 31, 2022, after which the organization intends to shift to a masks-recommended approach. Merit invested heavily in its HVAC system to improve ventilation throughout the building. Work that can be done remotely will continue to occur virtually to maintain employee flexibility so long as the quality of in-person instruction and support is maintained.

Compensation

Merit offers a comprehensive employee benefits package, including the following items:

• Compensation is commensurate with experience but based on a starting salary of $50,000 annually.

• You will be eligible to participate in Merit's employee benefits package on the first of the month of employment following 30 days of employment.

• Merit offers a robust healthcare package including BCBS medical (HMO and PPO options), Delta Dental (HMO and PPO), employee-paid EyeMed vision care, and employee-paid voluntary life insurance coverage.

• One (1) day of paid time off (PTO) earned each month and seven paid holidays in addition to a paid winter break (approximately one week). This will increase to 1.5 PTO days earned per month beginning September 1, 2022

• 401(k) eligibility begins on the first day of the new calendar quarter following one year of employment
