Position Description

The Congressional Progressive Caucus Center seeks an Executive & Operations Assistant to support the Executive Director and the Center’s overall operations. This position is important to the organization’s effectiveness, with the successful candidate playing an important role in the daily operations of the Center and serving as a key point of contact for staff and stakeholders.  


Primary Responsibilities

  • Scheduling (Manage scheduling, travel arrangements and other administrative items, as needed, for ED; schedule and distribute invitations to regular meetings and events; track responses and reservations; maintain office calendars);
  • Meeting, briefing, conference and event coordination (coordinate schedules and event space reservations, catering, invitations; prepare supporting materials; staff meetings and provide logistical support; manage correspondence; compile agendas; take notes);
  • Assistance with board communications (schedule and reserve meeting space; track, organize and print materials; staff meetings and provide logistical support; assist staff and Executive Director as needed);
  • Assistance with communications and outreach (update mailing lists; coordinate and produce mailings; send emails to list serves);
  • Office management (purchase supplies; order materials and supplies for meetings and events; coordinate print jobs; maintain a neat, fully stocked office; collect, copy and code invoices, receipts and reimbursements; respond to general inquiries; route mail and deliveries to staff; prepare for onboarding new employees; organize and update files; coordinate maintenance of office equipment);
  • General administrative support for staff; and
  • Other duties as assigned.


Qualifications 

  • A minimum of three to seven years’ experience as an executive assistant, administrative assistant, program assistant or scheduler
  • Proficiency in MS Word, Excel and PowerPoint and web applications. 
  • Ability to prioritize and carry out multiple long- and short-term projects simultaneously in a fast-paced team setting, meeting all related deadlines 
  • Excellent organizational, communication and writing skills
  • Attention to detail essential
  • Ability to make decisions and solve problems independently, effectively, and creatively
  • Excellent verbal communication, interpersonal and relationship-building skills to effectively work with a variety of people and personalities
  • Ability and desire to collaborate and work well with staff at all levels in a team environment, and to work effectively in a support role
  • Commitment to and experience in social justice advocacy and progressive policies 
  • Ability to adapt to changing situations and maintain confidentiality 
  • Demonstrated flexibility and openness in responding to changing work priorities
