SUMMARY:

Across the state, Washington has more science, technology, engineering, math (STEM) and health care jobs than it can fill yet our higher education system cannot keep up with the demand for skilled employees. The Washington State Opportunity Scholarship (WSOS) is a unique, public-private partnership designed to address our talent shortage. WSOS fuels the state’s economy by providing scholarships and a continuum of support services to high potential students who are pursuing a graduate degree, bachelor’s degree, associate degree, certificate, or apprenticeship in a high-demand trade, health care or STEM program in Washington state.


The Development Operations Coordinator will play a key role in creating and implementing the administrative and operational activities that are the backbone for campaign management, major gifts fundraising, projects and events. The top responsibilities for this role include: 1) performing prospecting research; 2) preparing documentation for donor meetings; 3) conducting gift entry, processing and reconciliation support; and 4) leading the operational and administrative database support for fundraising activities, including event registration and fundraising reporting. To excel in role, the Development Operations Coordinator will be a self- starting, detail-orientated professional with a penchant for performing tasks efficiently and accurately. The ideal candidate is a team player with strong data management and customer service skills coupled with experience in a cloud-based CRM system such as Salesforce. The Development Operations Coordinator reports to the Senior Development Director and is a member of the development team.


KEY RESPONSIBILITIES AND ACCOUNTABILITIES:

• Perform prospect research and accurately, concisely and clearly summarize findings

• Prepare concise reports and briefs to support strategy work and relationship managers in advance of donor visits

• Ensure accurate and timely donor data entry and reporting including managing all aspects of the gift process (tracking, acknowledgement and reporting) as well as leading on reporting for fundraising KPIs, auditing, monthly reconciliations and state reporting

• Manage operational and administrative activities to support the effective and efficient functioning of the development team

• Serve as the point-person for data entry, reporting and database troubleshooting in Salesforce CRM, in partnership with the Salesforce Administrator

• Maintain the highest ethical standards of the fundraising profession

 

POSITION REQUIREMENTS:

Education and Experience

• High school graduation

• 3+ years of nonprofit fundraising/development experience

PREFERRED QUALIFICATIONS, KNOWLEDGE, SKILLS, AND ABILITIES:

Knowledge of:

• Gift entry, pledge tracking and gift acknowledgement processes managed through a donor/constituent CRM such as Salesforce, Raiser’s Edge, etc.

• Mission-focused fundraising

• Database management

• Prospect Research best practices

• Systems of power and oppression and how they impact the lived experience of students of color, first-generation college students and students from low-income families


Skill in:

• Clear, concise written and verbal communication

• Using donor/constituent CRM such as Salesforce, Raiser’s Edge, etc.

• Using Microsoft Office and Smartsheet (or similar project management software)

• Project management

• Leveraging technology and other creative solutions to enhance productivity and grow efficiencies

• Online research methods


Ability to:

• Track complex projects with a laser focus on details

• Independently coordinate administrative details such as: creating name badges and attendee lists for events; ordering meals or coordinating catering to support donor events; and managing collateral printing, mailing and pick up

• Independently organize workflow, priorities and deadlines

• Work cooperatively and effectively with others to set goals, resolve problems and follow through

• Thrive working independently and under supervision in an energetic, fast-paced team environment

• Balance competing priorities in a cross-functional workspace


LICENSES, CERTIFICATES, AND OTHER REQUIREMENTS:

• Valid Washington state driver’s license or identification card

• Access to reliable transportation for business travel

• Proof of automobile insurance if using a personal vehicle for business travel

• Complete a criminal background check absent of offenses impacting ability to perform in the role

• References will be required of short-listed candidates


WORK ENVIRONMENT:

• Moving to/from meeting spaces, sitting, bending, twisting, and reaching; Occasional lifting of up to 20 pounds

• Open to dialogue about issues related to diversity, equity, and inclusiveness

• Event attendance and/or working events required on occasion

• Hybrid workplace including work-from-home time blended with shared office environment with moderate noise levels from standard office equipment

• Ability to perform consistent work on a PC required

• Travel up to 5% of the time
