Yoga Behind Bars Office Manager 

Part Time, 25 hours per week 

Yoga Behind Bars is the only nonprofit in Washington State dedicated to bringing trauma-informed  yoga to prisons, jails, and detention centers. Our yoga and mindfulness programs promote  rehabilitation and empowerment, offering inner tools and resources to people experiencing the  trauma of incarceration. Based in Seattle, Yoga Behind Bars has five full-time staff and four part-time  trainers that support programs in 18 facilities throughout the state. Individual donors mainly support  our annual budget of $450k that we seek to grow to $775k by the end of 2023.  

We seek a team member dedicated to service, equity, and inclusion to join our diverse team. As an  experienced Office Manager, you play a critical role in ensuring that daily office operations run  smoothly; you are a tech superhero who will use your skills to develop and implement office-based  and virtual systems to help the organization hum. You will be joining YBB during a period of planned  growth to achieve ambitious goals that allow us to reach more people/students. The right candidate  will share our organizations' values for community, equity, integrity, sustainability, and relationships.  YBB strongly encourages candidates with lived or adjacent experience to our served communities to  join our team. 

Office Manager Responsibilities 

General Administration 

o Establish and facilitate office systems of communication, processes and strategy.  • Design and organize an agency wide virtual file system to, 

o Ensure internal documents are maintained 

o Organize, order and track distribution of organizational assets and supplies  

o Manage the inventory of technology and related supplies (including the distribution  and collection of technology equipment) 

o Supporting staff technology needs 

o Coordinating staff on-boarding and technology update trainings  

o Provide support for IT 

o Coordinate with contracted IT support to ensure computers and printers are  functioning appropriately, troubleshooting minor IT issues (as needed

• Overseeing and manage email and voicemail 

o On-boarding new employees 

o Daily monitoring general email and voicemail  

o Pick up mail at the post office 2 - 3 times per week and distribute 

o Coordinate in-kind donations, (as needed


Administrative Support 

o Calendaring support  

o Manage/Support schedule, calendar and appointments for the Executive Director, (as  requested) 

o Ensure YBB events and trainings are on shared calendars

o Schedule meetings and meeting rooms  

o Assisting with operations or projects (as requested) 

o preparing Internal/External reports, PowerPoint presentations, emails 

o Meeting minutes and note taking 

o Other duties as assigned by the Executive Director 


Finance Support 

o Track, code and deposit all checks and cash at the bank  

o Track and compile all donations, gifts and maintain receipts  

o Account for and code all income, expenses and invoices  

o Confirm all monthly billing reconciliations  

o Manage/update all EFT and foundation accounts  

o Bookkeeper relations 

o Provide required documentation to the bookkeeper 

o Coordinate with the bookkeeper to improve process efficiency and accuracy 


HR/Recruiting Support 

o Post job announcements  

o Communicate with applicants  

o Monitor email and job sites and forward applicants to the hiring lead  

o Coordinate new hire on-boarding

Experience Requirements 

o Minimum two years in Office/Operations/HR Coordinator or Manager role; desire 3-5 years’  experience 

o Technology/computer proficiency-super user: Google Suite, Microsoft Office (Excel, Outlook,  Word,) Proficiency and/or experience with Adobe Acrobat, DocuSign and QuickBooks • Enjoy creative thinking, adaptability, process improvement, self-organization  • Soft Skills: 

o Strong administrative and organizational skills, with a keen attention to detail 

o Proven ability to thrive in a fast-paced environment while juggling multiple priorities.  

o Demonstrated ability the ability to be flexible, work independently, and meet deadlines  (sometimes under pressure) 

o Excellent communication skills, both verbal and written, with the ability to provide clear  instructions on work activities (as needed) 

o Works effectively with all departments, community partners, stakeholders, participants,  and families. 

o Results oriented, highly proactive, collaborative, enthusiastic and service-oriented

We are a statewide organization with a Seattle presence  and flexibly designate the amount of time required in the office to facilitate our staff culture  and collaboration.  

o Regional residence is required.  

o The Office Manager role is expected to be present in the office the majority of their work  week.  

o Yoga Behind Bars provides health, vision, and dental insurance, an automatic investment of  3% in a 401K plan, 12 paid holidays, a flexible work schedule, and paid time off. This role  requires occasional weeknight and weekend hours 

o This is an hourly, nonexempt, 25 hour/week position reporting directly to the Executive  Director. 

o The salary range is $32,000-34,000 per year.
