Reporting to the Executive Director of City Year Little Rock, the Chief of Staff oversees the activities of the Executive Office, administrative operations of the site, human resources, and advances City Year Little Rock’s agenda. The selected candidate will assist the Executive Director with strategic priorities and prioritize and monitor tasks related to the execution and implementation of a broad agenda. He/she approaches the work with a cross-functional (department, organization, and community) mindset and will assume primary responsibility for select projects and initiatives as directed. The ideal leader is someone who is able to effectively toggle between the granular details and the big picture while maintaining a people-first and servant leadership mindset.


He/she will provide oversight on time sensitive issues and initiatives that include cross-functional, organizational, and community dimensions. They are also responsible for building and sustaining an effective support structure for the site’s senior leadership team.Job Description

45% - Executive Office Management & Human Resources

  • With direction from the Executive Director, manage workflow of the Executive Office and Senior Leadership Team.
  • Develop agenda for site leadership meetings and facilitate the meeting.
  • Develop agenda for site staff meetings and facilitate the meetings.
  • Develop and execute site’s HR/People strategy aimed at establishing and maintaining positive site culture and ensuring that City Year Little Rock staff feel developed, supported, and appreciated in their work.  
  • Act as the Site People Point, interfacing with City Year HQ and other People Points in the network to implement policies, elevate challenges and contribute to the network’s collective People work.
  • Establish and communicate site-wide policies and procedures on behalf of City Year Little Rock and in consultation with City Year Inc.
  • Act as the site’s HR point, working with the Executive Director to monitor and address any HR issues that arise both from staff and, in collaboration with the Impact Director, those that arise from corps.
  • Foster productive and collaborative relationships internally and externally on behalf of the Executive Director and site leadership as requested.
  • Ensure site space, administrative, and technology functions operate efficiently with high internal customer satisfaction.
  • Interface with vendors and partners in relation to management of the office building and maintenance (i.e. managing relationship with office cleaners, waste management, etc).
  • Ensure site resources are properly allocated and maintained by developing and executing process of tracking departmental usage and return of all site materials (i.e. tables, chairs, materials, etc.)
  • Ensure staff have all the necessary resources needed to complete their roles by monitoring and replenishing site supplies as needed  

30% - Budget Development and Financial Monitoring

  • Monitor site’s financial progress and ensure all departments are forecasting how they will finish in the black at least every other month.
  • Analyze financial statements and revenue projections and prepare reports for ED and Board Finance Committee.
  • Lead annual budget development process in consultation with Executive Director and site leadership.
  • Collaborate with Executive Director, Site Directors and HQ Finance to identify cost savings and revenue generation opportunities, prepare program budgets, and align operating budgets with strategy and donor intent.
  • Provide training and support to department finance leaders.

20% - Site Strategy and Special Initiatives

  • Monitor all of City Year Little Rock’s operating goals by working with department leadership to provide internal and external reporting. Ensure the Executive Director is aware of recommended actions and ensure response interventions are executed.
  • Collaborate with Executive Director and site leadership to manage the implementation, review, and modification of City Year Little Rock’s strategic plans. Ensure departmental and site-wide progress is met and remains aligned with staff capacity, financial resources, and stakeholder support.

5% - Advisory Board

  • With direction from the Executive Director, the Chief of Staff will manage meetings and materials, retreats, and communications of the Advisory Board.

Basic Qualifications

  • College degree or equivalent experience required
  • Master’s in Business, Human Resources, Non-Profit Management or related experience preferred
  • Minimum of 3 years of experience successfully leading cross-functional teams
  • Proven success in developing collaborative relationships, and a successful track record of providing successful advice and counsel to senior leaders
  • Strong project management and organizational skills, and the ability to manage multiple priorities in a complex environment
  • Excellent analytical, verbal and written communication skills along with a high level of diplomacy, discretion and problem-solving ability
  • Demonstrated ability to lead directors and managers in the creation and implementation of multi-faceted operating plans and budgets
  • Leadership, influencing and negotiation skills
