OMRI operates an internationally recognized evaluation program that reviews and lists input products for use in producing, processing, and handling organic foods and fiber. Overview of Position


We are looking to fill a newly created position on our team. The Deputy Director assists the Executive Director by supervising and guiding OMRI operations; manages the creation and implementation of OMRI strategic plans, annual plans, budgets, projects and policies; and serves as second-in-command to the Executive Director. The Deputy Director reports to the Executive Director and supervises the Operations Director, IT Manager and Network Manager. Qualified candidates will have background in organizational and project management.


Major Responsibilities

 

Staff Management

·        Supervise the Operations Director, IT Manager and Network Manager

o  Supervise the day-to-day work of the Operations Director, IT Manager and Network Manager, and coach and mentor staff

o  Coordinate hiring process for the staff members that this position supervises

o  Conduct periodic performance check-ins and evaluations of supervised staff

o  Serve as a liaison for staff, communicating and supporting organizational priorities, and addressing and resolving concerns and/or bringing to upper management as appropriate

o  Advise on personnel issues and strategies as part of the OMRI Personnel Team


Organizational Management

·        Facilitate and participate in organizational work planning and strategic planning

o  Identify strategies and projects to further OMRI's strategic goals

o  Facilitate and participate in work planning sessions

o  Oversee the completion of assigned workplan projects, and update management team members on the progress of projects

·        Participate in organizational decision making with the management team

 

Administration

·        Ensure an effective process for planning, implementing, and evaluating short-and long-range goals and objectives for the organization

·        Recommend and implement new policies, programs, and action plans consistent with the vision, mission and goals of the organization

·        Serve as main contact for legal advice and/or assistance from outside attorneys on legal issues

·        Review current OMRI practices and processes and initiate development of new ones as necessary to reduce costs, encourage growth and improve efficiency

·        Clearly and concisely communicate organizational goals and operational plans to all levels of the organization

·        Work with the management team to create a positive and professional work environment

·        Oversee facilities and related operations

o  Manage OMRI office leases

o  Coordinate office moves and relocations with the Operations Director

o  Oversee risk management and ensure that OMRI is adequately safe, secure and insured

·        Ensure that OMRI's legal and organizational infrastructure is maintained

o  Ensure that all required non-profit registrations and notifications are completed and up to date, and that all business related organizations have current information about OMRI

·        Under the guidance of the Executive Director, negotiate contracts with and oversee work of consultants and contractors


Information Technology

·        Prioritize OMRI’s software development projects

o  Coordinate projects between IT Manager and management team members

o  Work with management team members to develop high-quality project specifications

o  Work with IT Manager to develop project delivery projections

o  Identify impediments to strategic plan deadlines; resolve them by developing new resource ideas or adjusting project scope

·        With the IT Manager, coordinate OMRI’s IT activities

o  Develop and manage the IT budget and purchasing

o  Identify priorities and develop work plans

o  Oversee long-term IT planning


Finance

·        Conduct regular financial reviews and approvals

o  Review monthly financial reports and correct as needed before Executive Director’s review

o  Review, code and approve invoices for payment

o  Serve as primary OMRI check signer

·        Oversee OMRI’s finances, investments and budgeting

o  Manage the processes for developing and monitoring annual budgets and variance logs

o  Work with direct reports to develop budgets for operations (training, staff morale, finance, IT, facilities)

o  Oversee management of the OMRI reserve account and bank accounts

·        Oversee OMRI's financial policies and procedures

o  Monitor and update OMRI’s internal controls as needed

o  Respond to and make adjustments to OMRI's financial processes, as needed

 

Human Resources

·        Maintain employee compensation system, including periodic reviews of salary ranges and compensation policies

·        With the Operations Director, identify human resources priorities and develop workplans

·        Oversee policies, procedures and practices on personnel matters, including the OMRI Personnel Manual

·        With the Operations Director, oversee employee relations and development

·        Oversee administration of complaints about OMRI personnel and cases of alleged inappropriate communication/contact with OMRI personnel as described in the OMRI Administrative Procedures Manual


Support to the Executive Director

·        Provide back up and assistance to the Executive Director, as requested

Level of Language Proficiency

Education and Experience

Required:

  • Bachelor’s degree in business, management or a relevant field 
  • 5 years of experience working in non-profit management, including staff supervision
  • 2 years of experience in budgeting and financial management
  • 2 years of experience in project management


Preferred:

  • Experience working as a Deputy Director or Executive Director
  • Experience in organic agriculture


Skills

Required:

  • In-depth knowledge of the management process, especially as it applies to growth, long-term planning and project management
  • Ability to plan organization-wide activities (setting objectives, developing strategies, budgeting, developing policies and procedures, and organizing the functions necessary to accomplish the activities)
  • Experience selecting, training, coaching and developing employees; directing employees toward desired objectives; delegating and tracking projects; motivating employees and resolving problems; developing performance standards, measuring results, taking corrective action and rewarding employees
  • Proficiency with computer use and standard office software (Word, Excel, internet, and e-mail)
  • Demonstrated ability to read, analyze and understand financial reports and concepts, and create and manage budgets
  • Demonstrated ability to make and communicate decisions clearly, and delegate work
  • Demonstrated ability to work collaboratively as part of a dynamic team
  • High level of attention to detail and ability to process complex information and instructions
  •  Ability to manage and prioritize multiple tasks, organize information, complete tasks in a timely fashion, and appropriately handle confidential information
  •  Strong customer service skills
  •  Superior written and oral communications skills and emotional intelligence
  • Willingness to participate in professional development activities and ability to acquire new skills and adapt to change quickly

 

Preferred

  • Familiarity with the IT requirements of a non-profit, such as hardware and software requirements, IT project management and website development
  • Bilingual (Spanish/English proficiency)

 

Other Requirements:

  • Ability to work occasional nights and weekends
  • Ability to travel domestically
  • Ability to provide annual motor vehicle report and proof of auto insurance
