Department Summary

The Institute for Policy Research and Engagement (IPRE) is an interdisciplinary organization that assists Oregon communities by providing planning and technical assistance to help solve local issues and improve the quality of life for Oregon residents. The role of IPRE is to link the skills, expertise, and innovation of secondary and higher education with the economic development and environmental needs of communities and regions in the State of Oregon thereby providing service to Oregon and learning to the students and AmeriCorps members involved. Resource Assistance for Rural Environments (RARE) is one of the programs under the IPRE umbrella.

The mission of RARE AmeriCorps Program is to increase the capacity of rural communities to improve their economic, social, and environmental conditions through the assistance of trained graduate-level members who live and work in communities for 11 months. A team of RARE staff work together closely to recruit, place and train qualified members who each provide 1700 hours of service to rural Oregon communities in the fields of community and economic development, environmental and sustainability planning and food systems while gaining community building and leadership skills.

Position Summary

The RARE Program Assistant provides critical support to the RARE team with the day-to-day coordination of programmatic logistics. This position is involved in all aspects of program delivery within the following general categories: program and office administration, outreach and recruitment support, training logistics, travel administration and compliance. This position coordinates with all members of the RARE team in implementing and maintaining policies and procedures that are in alignment with AmeriCorps regulations and RARE’s programmatic mission.

This position will have contact via telephone, email, or in person with current RARE participants, supervisors, and UO offices including Payroll, Purchasing and Contracting, and Printing and Mailing Services. Typical responsibilities will include completion of member service contracts and hiring documents; coordination of onboarding and enrollment processes for new members; tracking participant hours in on-line portal; facilitating the travel reimbursement process; and providing monthly status reports to the Program Director.

This position reports directly to the RARE Program Director who will review the work of this employee on an on-going basis by means of informal conversation and conference, discussion of situations as they arise and review of reports. The RARE Program Director will conduct annual reviews for formal performance appraisal.

Additional expectations of the position:

• Occasional overnight travel for member and employee training (about 3-7 nights per year) may be required. Because of workload during late spring, summer and early fall, vacations during this time may be limited.

• Must pass a full FBI criminal background check.

Minimum Requirements

•Three years of office experience which included two years at full performance level and experience generating documents; and

• Lead work responsibility or coordination of office procedures

Professional Competencies

• Familiarity with Microsoft Office or similar (Word, Excel, Access, and PowerPoint) and Internet applications

• Ability to gather, compile, track and analyze data and provide written reports on information

• Ability to organize and track multiple tasks and projects

• Excellent oral and written communication skills and ability to communicate effectively with individuals from diverse backgrounds and cultures

• Ability to anticipate operational needs and work accurately on multiple projects simultaneously with frequent interruptions

Preferred Qualifications

• Understanding of and/or experience with national service programs (such as AmeriCorps) is desired
